Legal Assistant
Location: Plano, TX 75024
 Work Arrangement: 100% Onsite, Monday through Friday
 Schedule: 40 hours per week
Position Overview
We are seeking an experienced Legal Assistant to provide executive, administrative, and operational support within a corporate legal environment. This position will support senior leadership, attorneys, and other legal professionals while helping ensure day-to-day legal operations run efficiently, accurately, and on schedule.
The ideal candidate brings strong executive and administrative support experience along with hands-on exposure to corporate, commercial, or transactional legal work. This individual must be highly organized, comfortable managing competing priorities, and capable of supporting calendars, travel, expenses, invoices, contracts, legal documents, and internal workflows.
 
Key Responsibilities
 
  • Provide day-to-day administrative support to executives, attorneys, and other members of the legal team.
  • Manage executive calendars, appointments, meetings, and scheduling priorities.
  • Coordinate domestic business travel, itineraries, accommodations, and reservations.
  • Respond promptly to requests and ensure information, materials, and deliverables are completed accurately and on time.
  • Create and maintain schedules, templates, forms, and other administrative resources.
  • Perform system entries, tracking, and general coordination of legal workflows.
  • Support attorneys with corporate, commercial, and transactional matters.
  • Review contracts and assist with maintaining accurate contract records.
  • Prepare, format, edit, and organize legal documents and correspondence.
  • Maintain high standards for document accuracy, consistency, formatting, and presentation.
  • Serve as an administrative point of contact for outside counsel as needed.
  • Assist with legal matter tracking, document management, and records administration.
  • Schedule internal and external business meetings.
  • Coordinate meetings involving multiple executives, attorneys, and stakeholders.
  • Support business and legal events of approximately 20 to 50 participants.
  • Coordinate event logistics, communications, catering, restaurants, and venue reservations.
  • Prepare and process employee expense reports.
  • Process vendor invoices and support billing-related activities.
  • Assist with financial and accounting workflow coordination.
  • Review electronic invoice information, generate reports, and export data as required.
  • Research and resolve administrative discrepancies by coordinating with the appropriate internal teams.
  • Identify opportunities to streamline administrative processes and improve team efficiency.
  • Develop an understanding of attorney workflows and responsibilities to anticipate administrative needs.
  • Learn and effectively utilize internal legal, accounting, procurement, and document-management systems.

Required Qualifications
  • 2+ years of experience providing C-level executive, executive administrative, or senior administrative support.
  • Hands-on experience supporting transactional, corporate, commercial contract, or related transaction work.
  • Strong calendar management and complex scheduling experience.
  • Experience coordinating meetings, business travel, and events.
  • Experience preparing and formatting professional or legal documents.
  • Hands-on expense reporting, invoice processing, or related financial administration experience.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and commitment to accuracy.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with executives, attorneys, outside counsel, vendors, and cross-functional teams.
  • Strong technology aptitude and willingness to learn new systems and processes.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and OneNote.
 
Preferred Qualifications
  • Previous experience within a corporate legal department or law firm.
  • Experience supporting attorneys engaged in commercial or transactional matters.
  • Experience with legal matter management and document-management platforms.
  • Familiarity with expense-management platforms such as Chrome River, Concur, or similar systems.
  • Familiarity with corporate travel-management platforms.
  • Experience with systems such as TeamConnect, NetDocuments, SAP, Ariba, DocuSign, Adobe Acrobat Pro, or comparable platforms.
  • English/Japanese bilingual capabilities are a plus.
