Job description

Manage the process of reviewing and administering all recurring monthly revenue and associated licensing. This role includes invoicing customers, managing contract cancellations and annual renewals, and ordering required product licenses from vendors. As a Contracts Administrator, you will work with accounting, sales staff, and vendors to ensure compliance with all recurring contract terms. You will report directly to the Controller.

Essential Functions

  • Serve as a liaison between Sales Department and Finance Team for recurring revenue contract issues and approvals
  • Responsible for managing licenses and Software Support Agreement renewals, additions, and cancellations
  • Reconciliation of vendor invoices to active licenses
  • Coordinate the annual Master Renewal process with the Sales Team
  • Responsible for the entire recurring revenue contract cancellation process
  • Run Cycle Billing each month for recurring revenue in accounting software
  • Issue customer credits for recurring revenue cancellations as needed
  • Assist with importing jobs from sales system into accounting software
  • Provide excellent internal and external customer support regarding recurring revenue contract inquiries
  • Creating Inspections schedules in accounting software for customer accounts
  • Responsible for billing of customer pass through internet services
  • Prepare monthly recurring revenue tracking reports for month end close
  • Prepare and submit monthly Cry Wolf (false alarm) reporting to different state agencies
  • Other relative duties as assigned

Minimum Qualifications

  • Bachelor’s Degree or an equivalent combination of education/experience preferred
  • Current and valid US driver’s license preferred

Knowledge, Skills and Abilities

  • Attention to detail
  • Proficient computer skills, including Microsoft Office Suite
  • Intermediate level Excel skills required- must be able to use pivot tables, VLOOKUP’s and filters
  • Strong organizational skills
  • Effective oral and written communication skills
  • Experience in Sedona a plus
  • Strong interpersonal and customer service skills
  • Ability to multi-task, work under pressure, and meet deadlines
