Automotive Billing & Accounting ClerkPosition OverviewArlington Toyota Careers is seeking an experienced Automotive Billing & Accounting Clerk to join our accounting team. The ideal candidate will have dealership accounting experience, strong organizational skills, and the ability to thrive in a high-volume environment.
This position plays a critical role in ensuring accurate billing, funding, reserve processing, reconciliations, and policy cancellations while supporting dealership financial operations.
Essential Duties & ResponsibilitiesBilling & Funding- Bill all new and used vehicle deals accurately and timely
- Submit contracts and funding packages to lenders
- Verify all down payments and required deal documents before processing
- Calculate salesperson commissions based on current pay plans
- Submit commissions to payroll weekly
- Maintain commission schedules and minimum wage tracking
- Process trade payoff payments
- Post vehicle sales into accounting
- Post fundings and maintain CIT schedules
- Follow up on any outstanding fundings over 10 days old
- Clean and reconcile new and used vehicle schedules as needed
Policy Payables & Cancellations- Reconcile product provider statements monthly
- Process warranty and product cancellations
- Issue refund checks after proper verification
- Maintain cancellation schedules and payable reconciliations
- Submit monthly policy payables
Rebates- Run monthly rebate schedules
- Report aged rebates to management
- Follow up on outstanding manufacturer rebates
- Assist with rebate reconciliations and write-offs
Additional Responsibilities- Assist with daily positive pay processing
- Backup support for deposits and payroll functions
- Additional accounting office duties as assigned
Qualifications- Previous automotive accounting or dealership billing experience preferred
- High school diploma or equivalent preferred
- Strong attention to detail and organizational skills
- Ability to multitask in a fast-paced environment
- Excellent communication and teamwork skills
- Proficient with basic math and accounting functions
- Must be authorized to work in the United States
- Valid driver's license required
- Must be at least 18 years old
