SCHOOL BOOKKEEPER
SUMMARY DESCRIPTION
Under general supervision, performs various bookkeeping responsibilities at high school. Incumbent performs related work as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Budget Administration
- Receives school budget allocations and calculates departmental budget percentages.
- Processes budget transfer requests between accounts.
- Processes district purchase orders using school budget funds.
- Maintains filing systems and records related to school budget transactions.
Student Activity Fund Accounting
- Prepares and maintains the general ledger in accordance with District policies, procedures, and regulations.
- Records student activity fund transactions in the computerized accounting system.
- Maintains daily general ledger balances.
- Prepares general journal and adjustment entries.
- Performs monthly bank reconciliations.
- Monitors student activity depository accounts.
- Maintains and monitors petty cash funds.
Cash Receipts and Banking
- Collects and verifies student activity fund receipts.
- Prepares and deposits funds into appropriate bank accounts.
- Receives, records, and refunds student textbook deposits.
- Collects student textbook fines.
- Verifies, records, and refunds student fees and other deposits.
Purchasing and Disbursements
- Issues and monitors student activity fund purchase orders.
- Verifies and processes payments from student activity funds.
- Reviews, reconciles, and records purchasing card transactions.
- Verifies and prepares checks for student activity fund expenditures.
Reporting, Compliance, and Audits
- Prepares monthly financial reports for principal review and submission to the District Office.
- Prepares monthly account statements for activity advisors.
- Prepares and maintains records for annual audits of student activity accounts.
- Ensures accuracy and compliance of financial records with applicable accounting practices and District requirements.
Payroll and Contract Processing
- Prepares payroll documentation and independent contractor agreements related to student activity fund payments for services rendered.
- Submits payroll and contractor documentation to the District Office for processing and payment.
Other Duties
- Performs related duties as assigned or required.
QUALIFICATIONS
Education/Experience: Any combination equivalent to education and experience that would likely provide the required knowledge and skills is qualifying. A typical way to obtain knowledge and skills would be:
Education: Equivalent to a high school diploma;
Experience: Three (3) years of bookkeeping experience.
Licenses/Certificates: None Required.
Note: Applicants may be required to successfully complete an assessment of bookkeeping knowledge and proficiency.

This position is a 40 hour per week, 260 day position. Applicants selected for an interview for the School Bookkeeper position will be required to complete a 30 minute test. You will be contacted regarding the date, time, and location of the test.
Benefit packages are available for all employees, eligible employees who are regularly scheduled to work 27.5 hours per week or more receive full benefits of the District which include but are not limited to;

Temporary employees working less than 6 months do not receive benefits.
New employees will be fingerprinted upon hire and every five years thereafter and will have $58.50 deducted from their first paycheck to help defray the cost of fingerprinting. Non-licensed employees will have $58.50 deduction when their fingerprints are completed every five years. Fingerprint fees are subject to change.
