Job description

We are currently seeking a bilingual (English/Mandarin) experienced office assistant for a full-time position at our office in Brooklyn, NY, close to Queens, NY. Salary is negotiable based on experience.

About The Role:

We are looking for multiple mature, detail-oriented, and responsible Administrative Assistants, preferably bilingual (English/Mandarin). Candidates should be able to work in a fast-paced environment and perform well under pressure. Duties and responsibilities include providing administrative support to management and assisting with daily office tasks. Some previous experience working in an engineering or construction office, or a construction-related field, is preferred. Applicants must be able to speak and understand English at a skilled level for daily communication and document comprehension, and Mandarin at an intermediate level.

Job Details:

  • Reports to the Owner & Office Manager
  • This is a position of coordination requiring attention to project details and communicating clearly with project managers, engineers, suppliers, and other parties involved
  • Performs various technical and administrative assignments, often under schedule pressure, requiring attention to small details
  • Analyzes and executes complex information requests with the utmost confidentiality and professionalism
  • Interfaces with all levels of the organization and external parties in a professional and effective manner
  • Maintains physical and digital project files
  • Assists with compiling and maintaining project documents
  • Maintains and updates various logs
  • Provides other administrative support, including ordering supplies and materials, scheduling meetings, and other ad-hoc projects

Skills:

  • Proficient in Excel, Microsoft Office, Outlook, and Quick Books preferred
