Position Overview
Responsible for maintaining the personnel files and providing support to the Human Resources Department. This role helps maintain accurate personnel records, supports employee data entry, and assists with routine HR processes such as onboarding, benefits enrollment, and file maintenance. The HR Assistant ensures timely and accurate completion of assigned tasks, contributing to efficient HR operations and positive employee experiences.
Duties/Responsibilities
Recruitment & Onboarding
  • Assists with candidate coordination throughout the application and onboarding phases to ensure timely communication and processing.
  • Coordinates with HR and Accounting teams to ensure accurate and timely execution of Vaughn's referral program and associated payments.

HR Administration & Employee Records
  • Process personnel actions (hires, pay changes, terminations, W-4s) and maintain accurate employee records in both paper and electronic formats.
  • Maintain accurate employee records in HRIS (UKG) and personnel files.
  • Provide timely employment verifications.
  • Cross-train on HR administrative functions and provide backup coverage as needed.
  • Perform other duties to support the success of the HR department and satisfaction of employees.

Benefits & Payroll Support
  • Administer health, welfare, and retirement plan enrollments, changes, and terminations.
  • Assist with distributing benefits and wellness communications to employees.
  • Help with VaughnLife event coordination, flyers, and employee reminders.
  • Provide basic assistance directing employees to benefit resources and the appropriate HR contact.
  • Assist with Personify Health navigation and basic troubleshooting.

Training & Compliance
  • Monitor training attendance and coordinate communication to employees and leadership.
  • Provide support for performance review processes.

Other Projects/Ad Hoc Duties
  • Provide support on additional HR initiatives and company projects as requested.
  • Flexibly contribute to cross-departmental projects and ad hoc assignments in support of HR and business needs.
  • Perform other duties and responsibilities consistent with the role, as required by management.

Education and Experience
  • Bachelor's degree in HR, business, or related field preferred; or equivalent combination of education an/or (1-2) years of relevant experience.
  • Prior HR experience in a construction or related setting preferred.

Knowledge, Skills, and Abilities
  • Strong attention to detail and accuracy in recordkeeping.
  • Ability to perform and prioritize a varity of assignments with adequate supervision.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Basic knowledge of HR processes (onboarding, benefits, records).
  • Proficiency in Microsoft Word, Excel, and HRIS databases (UKG Preffered).
  • Strong organizational skills with ability to handle multiple tasks and frequent interruptions.
  • Effective written and verbal communication skills.
Team-oriented, with the ability to work cooperatively with others and independently as required.
