Job description

Our client is a well-established and highly respected Top ENR General Contractor headquartered in Irvine, California. With a strong reputation for delivering complex commercial, hospitality, and multifamily projects throughout Southern California, they are seeking a highly organized and proactive Executive Assistant to support senior leadership and help drive day-to-day operational efficiency.

Position Summary


The Executive Assistant will provide high-level administrative support to executive leadership while serving as a key liaison between internal teams, clients, subcontractors, and business partners. The ideal candidate will possess exceptional organizational skills, strong attention to detail, professionalism, discretion, and the ability to manage multiple priorities simultaneously.


Responsibilities:

  • Manage complex executive calendars, scheduling meetings, appointments, and travel arrangements
  • Coordinate internal and external meetings, including preparation of agendas, presentations, and meeting materials
  • Screen and prioritize incoming communications, correspondence, and requests
  • Prepare reports, presentations, proposals, and executive-level documents
  • Assist with project-related administrative functions and special initiatives
  • Coordinate company events, executive meetings, and client functions
  • Track action items and follow up on deliverables to ensure deadlines are met
  • Maintain confidential information with a high degree of professionalism and discretion
  • Serve as a point of contact between executives, clients, subcontractors, vendors, and internal departments
  • Support contract administration, document management, and filing systems as needed
  • Assist with office operations and executive administrative projects
  • Handle expense reports, invoicing coordination, and other administrative tasks as assigned


Qualifications:

  • 5+ years of Executive Assistant or Senior Administrative experience
  • Prior experience supporting executive leadership, ownership, or C-suite professionals preferred
  • Construction, real estate development, architecture, engineering, or professional services industry experience highly preferred
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • Ability to work independently while managing multiple priorities
  • Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience coordinating travel, meetings, and executive schedules
  • High level of professionalism, confidentiality, and attention to detail


Preferred Qualifications:

  • Experience working within a General Contractor, Developer, Architecture, or Engineering firm
  • Familiarity with construction terminology, contracts, project documentation, and bid processes
  • Experience supporting multiple executives in a dynamic environment
