Position Overviewย 

  • Schedule - Monday through Friday 7am to 4pm - Flexibility to work additional hours may be required to meet company/project needs.
  • On-Site Requirement: This position requires physical presence at our corporate office during office hours.
  • Compensation Package-
    • $36.06 to $38.46 / Hour
    • The above compensation is a range. Offers are made based upon a candidate's experience and the geographical location of this position.

What We're Looking For

  • High school diploma or GED required.
  • Associate or bachelor's degree in related field highly preferred.
  • 2 - 4 years in executive/administrative support required, highly preferred if experience is in related field.
  • Experience in Construction/General Contracting Industry highly preferred.
  • Experience with Procore preferred.
  • Customer service experience required.
  • Demonstrates exceptional attention to detail and organizational abilities.
  • Proficient in effective communication and teamwork.
  • Maintains a positive outlook and embraces a collaborative team approach.
  • Shows responsibility and takes pride in their work.
  • Fluent in English, with strong reading, speaking, and writing skills.
  • Proficient in Microsoft Office applications, including Excel, Word, and Outlook.

Your Role

  1. Executive & Operations Support
  • Manage executive calendars, meetings, travel, and scheduling.
  • Prepare meeting agendas, reports, and presentation materials.
  • Track operational initiatives, assignments, and follow-up items.
  • Support executive reporting and special projects.
  1. Construction & Operations Administration
  • Coordinate meetings with internal teams, vendors, and subcontractors.
  • Distribute operational reports and company communications.
  • Review administrative documents for completeness and maintain tracking logs.
  • Support payroll allocations, records management, and departmental initiatives.
  1. Human Resources & Employee Support
  • Coordinate interviews, onboarding activities, and employee travel.
  • Manage inventory of company apparel, PPE, and employee equipment.
  • Process PTO requests and assist with employee engagement events.
  1. Project & Systems Support
  • Maintain project documentation, compliance records, and tracking logs.
  • Provide administrative support within Procore and other business systems.
  • Track software licenses, subscriptions, and user access.
  1. Office Administration
  • Serve as the primary front desk contact for visitors and incoming calls.
  • Coordinate conference rooms, office meetings, and workplace logistics.
  • Manage office, kitchen, and supply inventories while maintaining an organized office environment.
  1. General Administrative Support
  • Assist with company meetings, events, data entry, filing, and miscellaneous administrative projects.
  • Provide cross-functional support and collaborate with team members to achieve organizational goals.
