Job description

ColonialWebb is seeking a detail orientated individual to support billing operations for our HVAC and Plumbing Service Teams in Maryland. The Construction Billing Specialist is responsible for processing and managing service work orders for work performed by our HVAC and Plumbing Service Technicians. We are looking for a teammate that can grow quickly and accept the additional administrative responsibilities.

What you will do:

  • Audit service work orders; discuss issues with HVAC and Plumbing Technicians and Service Coordinators; make corrections as needed
  • Run reports and take ownership to check them for accuracy and address possible problems 
  • Ensure that Purchase Orders are accurate, and resolve discrepancies as necessary
  • Communicate with external customers and maintain positive customer relationships
  • Collaborate with managers, technicians, and other team members to process invoices and billing in a timely manner
  • Maintain data entry logs, files, and other documentation
  • Provide backup support to team members (i.e., switchboard relief, time entry, issuing Purchase Orders, customer set ups, scanning/indexing)

What we are looking for:

  • High school diploma or equivalent
  • Experience in the construction industry (HVAC, Plumbing, Electrical) is preferred
  • Technological proficiency with Microsoft Excel and Outlook; willingness and ability to learn other software used on a daily basis
  • Proficiency with the English language to include ability to edit grammar and errors in documents
  • Ability to deal diplomatically and communicate effectively with internal and external customers
  • Ability to work from dual monitor screens for long periods of time
  • Ability to work without direct supervision
  • Positive, can-do attitude; dependability
  • Attention to detail
