Their role often includes troubleshooting issues, supporting users, and implementing best practices to optimize collaboration and content management. Confluence Admins play a critical role in enabling teams to effectively share knowledge and collaborate on projects.

What are some common challenges faced by Confluence Admins when managing user permissions and how can they be addressed?

Confluence Admins often encounter challenges in managing user permissions, such as balancing security with accessibility and ensuring users have the appropriate access to spaces and pages. Misconfigured permissions can lead to sensitive information exposure or workflow disruptions. To address these issues, admins should regularly audit permission schemes, communicate with space owners about access needs, and leverage Confluence's built-in reporting tools to monitor changes. Establishing clear guidelines for permission requests and changes also helps maintain a secure and efficient collaboration environment.

IT Business Systems Administrator

Bolt Graphics

Posted 7 days ago

Job description

Job Summary:
Bolt Graphics is a semiconductor startup based in Sunnyvale, CA building the fastest and most efficient graphics processors. They are seeking an IT Business Systems Administrator who will manage core platforms like Jira, Confluence, SharePoint, and ERP systems, ensuring they are effectively configured and maintained to support business operations.
Responsibilities:
• Own Jira project administration across software, business, and service management teams: workflows, issue types, screens, custom fields, permission schemes, and notifications.
• Build automation rules to cut down on manual work and keep project data clean and reliable.
• Keep Confluence organized and useful: space management, page templates, permissions, and content governance.
• Handle user provisioning, group management, and license tracking across both tools.
• Evaluate and manage Atlassian Marketplace apps.
• Help teams get real value out of their boards, backlogs, and reports.
• Administer SharePoint Online: site collections, document libraries, metadata, permissions, and governance.
• Configure and support Teams environments for specific business units and project teams.
• Manage OneDrive configuration, sharing policies, and folder structure standards to keep things consistent across teams.
• Build Power Automate flows that connect SharePoint to other business tools and reduce manual handoffs.
• Own SharePoint architecture decisions and serve as the internal expert on intranet structure and best practices.
• Administer user accounts, roles, and permissions across ERP platforms.
• Configure custom fields, forms, workflows, and reports to support finance and operations teams.
• Coordinate updates, patches, and testing cycles with vendors and internal stakeholders.
• Dig into data integrity issues and work with teams to fix the root cause, not just the symptom.
• Support integrations between ERP systems and the rest of the platform stack.
• Keep configuration documentation and change history clean for audit and compliance purposes.
• Support HubSpot and/or Salesforce at a configuration level: users, objects, workflows, validation rules, and reporting.
• Help sales and marketing teams with platform questions, data hygiene, and workflow improvements day to day.
• Coordinate with dedicated CRM owners or vendors on larger changes and integrations.
• Write documentation and training materials that actually get used, so teams can self-serve and stop re-asking the same questions.
• Work with stakeholders across finance, operations, and product to understand what they need and build it the right way.
• Track license renewals and flag opportunities to consolidate or cut costs.
• Manage vendor relationships for support escalations and new feature rollouts.
Qualifications:
Required:
• 7-10 years in a SaaS platform administration, IT Administrative Operations, or IT Business Systems Administration role
• Deep Jira administration experience: workflows, permission schemes, custom fields, automation, and multi-project configuration. You've done this at scale, not just for one team
• Confluence administration: space management, templates, permissions, and keeping content findable long-term
• SharePoint Online administration: site architecture, permissions, libraries, and Power Automate, with working knowledge of Teams and OneDrive configuration at a team level
• Hands-on ERP administration with at least one of NetSuite, Deltek Costpoint, or SAP: user management, configuration, reporting, and vendor coordination
• Working knowledge of HubSpot or Salesforce at a configuration and support level
• Someone who documents as they go and communicates clearly with both technical and non-technical people
• Good judgment about when to build something, when to configure it, and when to tell someone their request doesn't make sense
Preferred:
• Atlassian certifications (Jira Administrator, Confluence Administrator, or ACP credentials)
• Salesforce Administrator certification (ADM-201)
• NetSuite SuiteFoundation or Administrator certification
• Deltek Costpoint experience in any industry; background in government contracting is a plus
• Microsoft 365 certifications (MS-900, MS-100, or SharePoint-specific)
• Power Apps or Power BI experience
• REST API familiarity or basic scripting (Python or JavaScript) for integration and automation work
• Background supporting finance, operations, or project management teams
• ITIL familiarity or experience in a formal change management environment
• Compliance awareness across NIST 800-53, NIST 800-171, CMMC, SOC 2, or FedRAMP
