Overview

Black Desert Resort is an ultra-premium destination resort located in Southern Utah, offering luxury accommodations, refined dining, championship golf, and exceptional event spaces. The resort hosts weddings, corporate retreats, conferences, and social celebrations in a variety of elegant indoor and outdoor venues.

The Catering & Conference Coordinator plays an important role in supporting managers by assisting with the planning and execution of events, coordinating logistics, maintaining event documentation, and ensuring seamless communication between clients and resort departments.

Job Summary

The Catering & Conference Coordinator provides administrative and operational support to the Catering & Conference Services team. This role assists with coordinating event details, preparing in-house banquet event orders (BEOs), maintaining event documentation, and supporting client communications.

Working closely with Sales, Culinary, Banquets, and Operations teams, the coordinator helps ensure that event details are accurately communicated and executed to deliver exceptional guest experiences aligned with Black Desert Resort's ultra-premium hospitality standards.

Job Specifications

Onsite: Black Desert ResortShift & Schedule Availability: Year-Round / Full-TimePay Rate: $22.00 - $24.50/hour. This is the pay rate we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.

Responsibilities

Key Responsibilities including but not limited to

  • Provide administrative and operational support to the Catering & Conference Services team.
  • Assist in preparing banquet event orders (BEOs), event diagrams, and operational documents.
  • Maintain accurate event records and documentation within event management software.
  • Communicate event details to internal departments including Banquets, Culinary, AV, Housekeeping, and Front Office.
  • Support coordination of event timelines, room setups, and guest requirements.
  • Assist with organizing client site visits, tastings, and planning meetings.
  • Maintain catering calendars, event files, and operational schedules.
  • Assist with client correspondence.
  • Monitor event changes and ensure updates are communicated across departments.
  • Provide on-site support during events when needed to ensure smooth execution.
  • Assist with billing coordination, deposits, and event documentation.
  • Maintain professional communication with clients and vendors.
  • Support the sales catering team with proposals and event planning logistics when needed.
  • Uphold Black Desert Resort's ultra-premium hospitality standards.
  • Attend mandatory orientations and trainings. 
  • Perform other duties as assigned.
Qualifications
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Experience with event management software such as Delphi, Social Tables, or similar systems preferred.
  • Proficiency with Microsoft Office including Excel, Word, and Outlook.
