Job Summary
The HRIS Specialist provides comprehensive support to the Human Resources team to ensure efficient and effective HR operations. The Specialist performs a broad range of data-related functions, including data entry, data maintenance, audits, and validation for all employees within the HR management system and associated platforms.
The Specialist maintains the highest standards of accuracy, timeliness, and confidentiality, and contributes significantly to effective communication and service delivery within Human Resources and across the college community.

Responsibilities
  • Enter and verify employee information against supporting documentation, generate routine reports and queries, and validate outputs to ensure data integrity.
  • Research and obtain additional information for incomplete or missing documents.
  • Adhere to established procedures for maintaining employee records and related HR data, ensuring consistency and compliance with institutional standards.
  • Facilitate the transition of paper documentation to digital formats by accurately uploading, indexing, and maintaining records within the electronic employee records management system.
  • Ensure ongoing compliance with college policies and all applicable state and federal regulations through diligent review and adherence to established procedures.
  • Conduct regular audits of HRIS data to maintain accuracy, integrity, and alignment with institutional policies and standards.
  • Collaborate closely with cross-functional HR team members, as well as payroll and budget offices, to promote data accuracy and seamless operational processes.
  • Provide responsive administrative support to the HR team, addressing general inquiries and matters related to employee records with professionalism and efficiency.
  • Respond promptly to requests for information, facilitating appropriate access to relevant records in accordance with established guidelines.
  • Partner with the USG System Office to troubleshoot system-related issues, escalating concerns as appropriate to ensure timely resolution.
  • Maintain and update the HR knowledge base to ensure information remains accurate, accessible, and current.
  • Support employees and managers in understanding and applying HR policies, offering clear guidance on HR processes and procedures.
  • Assist with sensitive and confidential matters, exercising the highest degree of discretion and sound judgment.
  • Contribute to the successful execution of HR initiatives and special projects as assigned.
  • Perform other duties as assigned.

Required Qualifications
  • Bachelor's degree in Human Resources, Business Administration, Higher Education Administration, or a related field; or combination of education and experience
  • Ability to learn, adapt to and effectively leverage new technologies and tools to enhance efficiency and service delivery
  • Knowledge of federal, state and local laws and regulations related to Human Resources with the ability to apply this knowledge appropriately in daily practice
  • Ability to interpret and execute policies and procedures in alignment with institutional standards
  • Skill in customer service with the ability to effectively communicate both verbally and in writing with a wide range of contacts
  • Skill in analysis and problem-solving with the capacity to assess issues thoughtfully and recommend practical solutions
  • Ability to manage sensitive and confidential information with discretion and professionalism
  • Skill in time management with the ability to focus on attention to detail and quality outcomes
  • Ability to manage multiple tasks and projects simultaneously while meeting established deadlines

Preferred Qualifications
HR professional certification through the Society for Human Resource Management (SHRM-CP or SHRM-SCP) or the HR Certification Institute (PHR or SPHR)
