THE OPPORTUNITY
Silvus is seeking an Office Administrator who will serve as the operational backbone of the Irvine office to support daily operations and play a critical part in the productivity and efficiency of the Irvine engineering team. This role supports purchasing, vendor relationships, travel, and administrative needs for the broader engineering team at different sites.
This role reports to the Irvine site lead, with dotted line reporting to the Office Manager at HQ. The position is fully onsite, Monday through Friday, at Silvus Technologies' office in Irvine, near the Irvine Spectrum.
The following is a list of at least some of the current essential job functions of the position. Management may assign or reassign duties and responsibilities at any time at its discretion.
ROLE AND RESPONSIBILITIES
  • Primary responsibility for supporting the maintenance and ordering of company supplies, food, and beverages, as well as stocking the break room for the Irvine office.
  • Handle front desk responsibilities for the Irvine office, including answering phones, greeting/assisting visitors, managing deliveries, and supporting day-to-day office operations
  • Keep the Irvine office area clean, tidy, and organized. Ensure the office environment is consistently professional, organized, and welcoming for employees and visitors
  • Support office filing, storage, and document management processes, including faxing, scanning, and copying.
  • Partner with the Facilities team to address Irvine and San Diego office concerns in a timely manner.
  • Assist with any event coordination for the Irvine or San Diego offices as requested.
  • Support the Irvine and San Diego Engineering teams with various administrative and operational tasks.
  • Support travel for the team and any new hires across multiple locations.
  • Manage purchasing requests for the Engineering teams. Place orders, track shipments, and proactively follow up with vendors.
  • Perform other related duties of which the above are representative.

REQUIRED QUALIFICATIONS
  • High School Diploma or GED.
  • 2-3 years of office administration experience, preferably with purchasing responsibilities.
  • Excellent organizational skills and ability to prioritize and take initiative.
  • Demonstrated commitment to customer service with a high emphasis on a professional and friendly attitude, attire, and professional demeanor.
  • Internet skills including use of email, group messaging, and digital data collection.
  • Effective oral and written communication skills.
  • Attention to detail, accuracy, flexibility, reliability, and teamwork.
  • Prior experience in a fast-paced office environment, meeting multiple deadlines.
  • Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.
  • All employment is contingent upon the successful clearance of a background check and drug test.

PREFERRED QUALITIFICATIONS
  • Highly proficient in Google Suite and MS Office (Excel, Word, PowerPoint).
  • Capability for critical thinking and problem-solving.
  • Ability to maintain confidentiality.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
  • Extended periods sitting at the front desk.
  • Ability to regularly lift and carry up to 25 lbs.
  • Walking/Moving around.

COMPENSATION: $25-$27 / hourly
The pay range is NOT a guarantee. It is based on market research and peer data and will vary depending on the candidate's experience and qualifications.
NOTE - As a US Federal Contractor, Silvus Technologies requires that ALL candidates being considered for employment for any position (regardless of level) MUST be a U.S. Person (permanent resident or citizen). Stricter U.S. Citizen ONLY requirements (needed for some Engineering or R&D roles) will be included in the Required Qualifications section of the posted position.
