Description
The Clinical Operations Manager is responsible for the administrative and day to day operational oversight of ARC clinical programming and multidisciplinary clinical support functions. This position serves as the direct operational supervisor for clinical teams and is responsible for ensuring efficient workflow, staffing coordination, schedule management, accountability, and operational support for clinical service delivery.
This role works directly under the Clinical Services and Operational leadership to allow licensed clinical staff and supervisors to operate at the top of licensure by reducing operational and administrative burdens that impact clinical workflow and service delivery.
The Clinical Operations Manager is responsible for maintaining a structured, organized, and supportive operational environment that promotes quality client care, staff accountability, regulatory compliance, and efficient service delivery.
Essential Duties and Responsibilities
  • Provide direct administrative and operational supervision to clinical teams and support staff
  • Coordinate daily clinical operations to ensure continuity of care and efficient program flow
  • Serve as the operational point of contact for clinical programming issues and staffing coordination
  • Support implementation of organizational initiatives, operational changes, and workflow improvements
  • Maintain strong communication and collaboration between operations and clinical leadership teams
  • Assist in development and implementation of departmental procedures and operational processes
  • Oversee development and maintenance of group schedules and client treatment schedules
  • Coordinate staffing coverage for clinical programming needs
  • Monitor workflow processes related to assessments, documentation completion, admissions, transfers, and discharges
  • Track completion and timeliness of clinical assessments and assigned operational tasks
  • Identify workflow barriers and implement operational solutions to improve efficiency
  • Ensure operational support systems are in place to maintain continuity of services
  • Provide operational supervision and support to multidisciplinary clinical staff
  • Conduct routine staff check-ins, coaching, and accountability conversations
  • Participate in hiring, onboarding, training, scheduling, and staff development activities
  • Complete performance evaluations and performance management processes as assigned
  • Promote a positive and collaborative work environment
  • Assist with conflict resolution and staff support needs
  • Manage clinical staff schedules and coverage coordination
  • Monitor staffing patterns to support safe and effective operations
  • Approve and monitor payroll, attendance, leave requests, and timekeeping functions in UKG
  • Assist in overtime management and staffing efficiency initiatives
  • Coordinate staffing adjustments related to census and program needs
  • Support compliance with ODMHSAS, OHCA, CARF, and organizational standards
  • Assist with audits, corrective action plans, and operational quality improvement initiatives
  • Monitor adherence to operational expectations and documentation timelines
  • Support incident review and operational follow-up processes
  • Demonstrate professionalism, accountability, and leadership presence
  • Maintain visibility and accessibility to staff across shifts and programs
  • Promote teamwork, communication, and a culture of operational excellence
  • Respond effectively to operational concerns and high-acuity situations
  • Support organizational mission, values, and strategic goals

Minimum Qualifications
  • Master's degree preferred in Behavioral Health, Healthcare Administration, Business Administration, Social Work, Counseling, Psychology, or related field
  • Bachelor's degree in a related field required
  • Minimum of three (3) years of leadership or supervisory experience in behavioral health, substance use treatment, healthcare operations, or related setting
  • Experience supervising multidisciplinary teams preferred
  • Knowledge of behavioral health and substance use treatment operations preferred
  • Experience with scheduling, staffing coordination, payroll/timekeeping, and operational workflow management required
  • Strong organizational, communication, leadership, and problem-solving skills
  • Proficiency with electronic health records and workforce management systems (UKG preferred)

  • Ability to sit, stand, walk, bend, and lift up to 25 pounds as needed
  • Ability to respond to crisis or emergency situations within the treatment environment
  • Ability to work flexible hours as operational needs require
