Job Overview


We are seeking a dedicated, organized, and personable Receptionist/Administrative Assistant to join our team. This role is vital to creating a welcoming environment for our clients and visitors and to providing exceptional administrative support that ensures smooth daily operations.

The ideal candidate will have excellent communication skills, proficiency in office software (especially Google Workspace), and the ability to multitask effectively in a fast-paced environment.


Key Responsibilities

Front Desk & Client Services

  • Greet and assist visitors in a warm, professional manner.
  • Answer and route phone calls, emails, and messages promptly.
  • Oversee and coordinate client transportation.
  • Support with managing visitor, staff, and client flow at the front entrance.

Administrative & Scheduling

  • Perform clerical duties, including data entry, filing, and proofreading documents/therapy notes.
  • Maintain organized records and assist with managing calendars for appointments and meetings.
  • Prepare and distribute the weekly staff schedule.
  • Manage daily operational reports and logs.

Staff & Office Support

  • Assist with onboarding new staff members and maintaining personnel files.
  • Oversee and track office supplies, budgets, and inventory.
  • Support general office management tasks to ensure efficient operations.
  • Assist with typing reports, managing emails, and using Google Workspace tools for documents and spreadsheets.

Collaboration & Process Improvement

Qualifications
