Client Coordinator - Luxury Residential Construction

Raleigh, NC Area

Salary Range: $60-75K


A high-end residential builder in the Raleigh market is seeking a polished, organized, and people-focused Client Coordinator to help deliver an exceptional client experience from preconstruction through project completion.The position requires a detail oriented person who is a great taskmaster and is able to communicate effectively with PM’s, clients, interior designers, and vendors or subs. Some basic accounting is helpful and ability to learn software is a must.


This role is ideal for someone who thrives in a fast-paced, relationship-driven environment and enjoys balancing communication, organization, customer service, and project support. You’ll serve as a key connector between homeowners, designers, project managers, vendors, and accounting teams to ensure projects remain organized, on schedule, and aligned with the luxury experience clients expect.


Key Responsibilities

  • Client Communication: Serve as the main point of contact for buyers, providing proactive weekly updates regarding construction progress and timeline changes.
  • Selection Management: Guide clients through the design and material selection process, ensuring choices stay within budget and are accurately communicated to the project managers.
  • Process Facilitation: Act as a bridge to ensure a seamless transition from the sales contract phase into pre-construction and production.
  • Vendor & Subcontractor Coordination: Schedule design appointments, order samples, and track deliveries with vendor partners.
  • Client Advocacy: Advocate for the homeowner’s interests while maintaining builders' timelines, quality standards, and professionalism.
  • Milestone & Warranty Support: Schedule and coordinate client walk-throughs (e.g., framing, pre-closing) and assist in handling post-construction warranty requests



Qualifications

  • 2+ years of experience in client coordination, project coordination, construction administration, or similar roles
  • This is NOT an interior design focused position (Best for someone with a construction/estimating/project management background)
  • Experience in residential construction, custom homes preferred
  • Strong communication and interpersonal skills
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Positive, professional, and service-oriented mindset
  • Proficiency with Microsoft Office and construction/project management software is a plus


Client Experience & Communication

  • Build strong relationships with homeowners throughout the construction process
  • Help create a seamless transition from sales/preconstruction into production
  • Act as a client advocate while maintaining professionalism and positivity
  • Provide proactive communication and consistent project updates
  • Help clients feel confident in selections, timelines, and overall project progress
  • Maintain a high-touch customer experience throughout the build


Project & Team Coordination

  • Support Project Managers with documentation, organization, and daily operational needs
  • Coordinate with designers, vendors, and internal teams to help maintain schedules and budgets
  • Assist with selection tracking, status updates, and project documentation
  • Maintain organized digital files and accurate records across projects
  • Ensure processes and workflows are followed consistently
  • Assist accounting and operations teams with project reconciliation and reporting
  • Maintain accurate data entry and documentation
