Job description

Job Title: Circulation and Student Staff Coordinator

Reports To: Director of the Library

Status: Full-Time, Non-Exempt


Summary/objective

The Circulation Supervisor oversees the daily operation of Access Services within the Kaplan Family Library. This position manages circulation services, student staffing, course reserves, library access functions, and patron support while ensuring a high level of customer service. The Circulation Supervisor serves as the primary daytime Access Services staff member and works collaboratively with library personnel to support student success, resource accessibility, and library operations.

Essential functions

  • Manages all Access Services and front-facing functions, including circulation and loaning of materials both internally and externally. Hires, supervises and trains all work-study and part-time staff. Primary staff member responsible for creating/updating all training and policy procedures for work-study and part-time student workers, including orientation sessions prior to each semester.
  • Assigns and schedules students at service desks in the library based on staffing needs, patron needs (reference analytics), and studentsโ€™ abilities and experience.
  • As the primary Access Services staff member in the building during the day:
  • Enforces policies with library users.
  • Serves as primary tech support resource for students in the library during business hours. Assists users with hardware and software matters and refers to IT as appropriate.
  • Opens library, ensuring that library users are able to access the building and all equipment is turned on. Maintains up-to-date opening procedures.
  • Assists library users with quick questions, helps them locate materials, and provides other general library services.
  • Monitors building conditions; reports urgent problems to Access Services Librarian, or Security.
  • Manages work study and part-time student schedules and payroll.
  • Responsible for all course reserves and permanent reserves.
  • Gathers, maintains, compiles, and analyzes hourly headcounts, Interlibrary Loan, circulation, and student employee statistics.
  • Works with Access Services librarian to create a schedule of library hours for each term, consulting the Academic Calendar, schedule of classes, accelerated schedules, and other resources as necessary.
  • Oversees Room Reservation system coordination and serve as backup for Astra and other room reservation systems, as well as Facilities work orders.
  • Responsible for item repair and maintenance.
  • Assists with digital signage system functionality.
  • Initiates and carries out, in conjunction with supervisor, senior fines mailing.
  • Maintains the new books kiosk. Develop signage and displays to draw attention to the collection.
  • Assists Copy Cataloger with batch deletion of MARC records.
  • Helps empty book drop and check in returned items.
  • Assists Access Services Librarian with selecting, creating and disseminating promotional and informational materials for Mount Saint Mary College Library events.
  • Assists with library events, including execution, student staffing, and assignments. Under the guidance of the Access Services Librarian, may facilitate overall event logistics.

Supervisory responsibilities

This position supervises work-study students and part-time student employees, including hiring, training, scheduling, performance oversight, and payroll administration.

  • Regular use of computers, library systems, circulation software, and office equipment.
  • Occasional work related to library events, displays, and facility support.
  • Primarily performed on campus during standard business hours.

Physical demands

  • Prolonged periods of sitting and computer use.
  • Frequent standing and walking throughout the library.
  • Ability to bend, stoop, reach, and retrieve library materials.
  • Ability to move books, library materials, and equipment weighing up to 25 pounds.
  • Ability to operate standard office and library equipment.
  • Ability to communicate effectively with library patrons and staff.

Travel required

No regular travel is required for this position.

Required education and experience

  • Associate degree required.
  • Excellent oral, written, and interpersonal communication skills.
  • Proven ability to work effectively with college-age students.
  • Strong supervisory and management skills.
  • Strong customer service orientation and commitment to providing quality library service.
  • Congenial, professional, and courteous demeanor.
  • Professional appearance and conduct.
  • Ability to complete book repairs with meticulous attention to detail.
  • Strong computer skills, including proficiency with Microsoft Office applications.
  • Ability to troubleshoot minor software and hardware issues.

Preferred education and experience

  • Bachelor's degree (BA/BS) preferred.
  • Working knowledge of an integrated library system (ILS), preferably Sierra, preferred.
  • Previous library experience preferred.
