Job description

Job Title: Office Administrative Assistant


Located in Loudoun County, Community Church exists to love people the same way God loves us.  We desire to see people experience God, meet friends, make a difference, and become a leader. The Office Administrative Assistant greets and directs visitors, responds to inquiries from the staff, parents, students and the public by providing requested information and/or referral to other departments. The Office Administrative Assistant will also provide additional general clerical support as assigned.


This position reports directly to the Operations Director.


Salary is commensurate with experience. 


Key Responsibilities 


Professional Growth and Learning

  • Attend orientation and all faculty meetings. 
  • Set and meet yearly goals demonstrating personal and professional growth; achieving the required total of yearly continuing education credits.
  • Undergo yearly professional evaluations, setting goals, and receiving feedback/correction as needed. 
  • Seek out and take advantage of opportunities for continued skills development and professional growth.


Professional Responsibilities

  • Answer phone calls in a pleasant, informed manner by providing information and creating a good image of the school.
  • Manage telephone message system (office hours, inclement weather and other recorded messages).
  • Maintain a professional school office, including but not limited to, fielding and directing incoming phone calls to the appropriate staff member in a timely, professional manner, filing, copying and faxing of sensitive information, etc.
  • Know basic clerical skills and knowledge of office practices and procedures that involve the operation of standard office equipment such as personal computer, copier, fax, and associated equipment. Open service tickets as needed. 
  • Support the administrative needs of the school office staff and school leadership (see breakdown of tasks/assignments below)
  • Receive and sort mail as needed.
  • Maintain standardized attendance policies and procedures and create reports as needed.
  • Maintain student records, emails, and attendance line messages.
  • Manage incoming parent emails (info@virginia-academy.com) respond or forward to the appropriate department or individual. 
  • Assist with school-wide communication (whether web or print). Assist with and send the weekly school-wide parent email.


Planning and Progress

  • Assist with the school’s preparation and execution of the accreditation site visit.
  • Meet with the operations director, as needed, to receive and give feedback, problem solve, and strategize to further advance the school's mission.


Culture 

  • Understand and uphold, with complete clarity, Community Church’s & Virginia Academy’s mission, vision, and values.
  • Set an example for the staff professionally and spiritually.
  • Develop a positive, welcoming and caring climate in the school office.

Requirements


Education, Certificates, Licensing & Special Requirements:

Required

  • Experience in a professional organization. 
  • Provide proof of U.S. citizenship or legal residency by completing Federal Form I-9.
  • Must pass a criminal record history check (SP-167).


Desired


  • Bachelor’s degree
  • Previous experience in a private/public school setting or higher learning institution.
  • Have three (3) years of experience in a clerical or secretarial role.
