Position Summary:
Florida Atlantic University is seeking a Coordinator of Contracts & Assignments - Boca Raton, FL.
Reporting to the Assistant Director of Contracts and Assignments Operations, this role is responsible for coordinating housing assignments for new residential students and special populations. The Coordinator manages assignments, appeals, applications, and room changes for upperclassman and graduate housing, while serving as a key point of contact for students and housing processes such as renewals and room selection. Utilizing strong administrative and problem-solving skills, this position enhances operational efficiency, maintains data accuracy in systems such as StarRez, and delivers responsive, student-centered customer service to support the mission of Housing and Residential Education.
Summary of Responsibilities:
  • Process assignments, appeals, cancellations, and assignment change requests for East Campus (upperclassman housing) and graduate student housing.
  • Collaborate with the Assistant Director to serve as a point of contact for housing renewals and room self-selection.
  • Serve as the main point of contact to track and process upperclassman Housing Appeals.
  • Process housing applications and assignments for special populations.
  • Process room changes and room swaps for the East campus and as a backup support for the West campus and Jupiter.
  • Serve as the primary contact for internship and guest housing. Verify billing and payment receipt.
  • Provide customer service support for the Central Housing and Residential Education. Office. Respond to Housing emails, phone calls, and in-person queries professionally, efficiently, and in a courteous and approachable manner.
  • Assist students, prospective students, and family members in solving problems, connecting with resources, and addressing concerns. Respond to issues and concerns with sensitivity, empathy, and care.
  • Provide information about housing policies, procedures, and availability.
  • Keep records of customer interactions and transactions, record details of inquiries, comments, and complaints.
  • Serve as the backup to the Office Manager Specialist as it relates to answering phones and assisting with in-person inquiries as needed.
  • Ensure confidentiality and accuracy of all student and housing information.
  • Maintain data integrity of student housing information in StarRez and other confidential data systems.
  • Maintain the Housing Chatbot responses and monitor weekly reports to update the Chatbot.
  • Assist with processing the unclaimed mail process at the end of each semester in partnership with the mail vendor.
  • Assist with Admissions and other University events as needed.
  • Participate in training and development opportunities to stay current with procedures and policies within Housing and Residential Education and Florida Atlantic.
  • Attend and participate in staff meetings.
  • Takes an active interest in identifying and participating in professional development opportunities.
  • Serve as essential personnel.
  • Performs other job-related duties as assigned.
