Position Summary
We are seeking an experienced CEO Executive Administrator to provide high-level support to the Chief Executive Officer of a rapidly growing organization. This role goes beyond traditional administrative support and requires a proactive professional who can effectively manage executive priorities, communications, scheduling, and key business relationships.
The ideal candidate is highly organized, exercises strong judgment, maintains strict confidentiality, and thrives in a fast-paced environment where priorities can shift quickly.
Key Responsibilities
  • Manage and prioritize the CEO's inbox, including drafting correspondence, flagging urgent matters, and ensuring timely follow-up.
  • Coordinate and manage a complex executive calendar, including scheduling, meeting preparation, conflict resolution, and protection of strategic focus time.
  • Prepare daily and weekly executive summaries outlining priorities, upcoming meetings, action items, and key decisions.
  • Create concise meeting briefs that provide relevant background information, discussion points, and stakeholder insights.
  • Track action items, commitments, and strategic initiatives to ensure timely completion and accountability.
  • Maintain records and communication history for key business relationships, clients, partners, and stakeholders.
  • Coordinate executive outreach efforts, including personalized communications, gifting initiatives, and relationship-building activities.
  • Prepare agendas, capture meeting outcomes, and monitor follow-up actions from executive meetings.
  • Serve as a trusted point of contact on behalf of the CEO while maintaining professionalism and discretion.
  • Handle sensitive and confidential information related to business operations, financial matters, and strategic initiatives.

Required Qualifications
  • 5+ years of direct support to C-suite executives.
  • Experience supporting a CEO or other senior executive in a fast-paced business environment.
  • Proven ability to manage competing priorities with minimal supervision.
  • Strong written and verbal communication skills.
  • Experience drafting communications on behalf of executives.
  • Proficiency with productivity tools, calendar management platforms, CRM systems, and AI-enabled business tools.
  • Strong research, organizational, and problem-solving skills.
  • Ability to exercise sound judgment and maintain confidentiality.

Preferred Background
  • Experience within financial services, insurance, professional services, private equity, acquisitions, or other growth-oriented organizations.
  • Exposure to executive travel coordination, strategic initiatives, and confidential business matters.
  • Experience interacting with external clients, partners, and executive-level stakeholders.
