) ABOUT THE ROLE

The Capex Analyst supports the capital expenditure program across Belmont Village's portfolio of 36 senior living communities. Reporting to the Capex Program Leader, this role is the operational backbone of the team keeping projects on track, procurement coordinated, and leadership informed through clear reporting and polished presentations.
TYPICAL RESPONSIBILITIES
Reporting & Tracking
  • Own the preparation and distribution of routine capex reports on a consistent schedule - weekly, monthly, and quarterly - ensuring leadership and stakeholders always have current, accurate information to stay on track
  • Maintain and update capex tracking across all Belmont Village communities
  • Monitor project timelines, flag delays, and escalate as needed
  • Manage and update data within the VENA, Concur, and Timberline platforms
  • Presentations
  • Build PowerPoint presentations for partner updates and annual capex requests
  • Translate data and project summaries into clean, executive-ready decks
  • Support leadership in preparing materials for ownership reviews

Unit Renovation Administration
  • Assist in managing the unit renovation pipeline across communities
  • Coordinate with Unit Renovation Program vendors to issue purchase orders, track orders, inventory, and delivery schedules.
  • Coordinate scheduling between Capex Program Leader, Executive Directors and Building Engineers.
  • Maintain renovation records and ensure documentation is current

Budget Support
  • Assist in annual capex budget preparation and tracking
  • Reconcile actual spend against approved budgets
  • Flag variances and support forecasting updates

MINIMUM QUALIFICATIONS
  • Bachelor's degree in Business, Real Estate, Construction Management, Finance, Operations, or a related discipline
  • 1-5 years of experience in real estate, hospitality, senior living or facilities management as a Project Coordinator, Capital Projects Coordinator, Facilities Coordinator, Construction Administrator, Operations Analyst or CapEx Analyst
  • Advanced proficiency in Microsoft PowerPoint and Excel, reporting, budgeting, procurement, project tracking and experience with ERP/project management systems (Vena, Timberline, Concur or similar)
  • Highly organized, proactive, polished communicator with the ability to create executive-ready presentations
  • Demonstrated ability to manage multiple projects simultaneously while maintaining exceptional attention to detail, meeting deadlines, and coordinating with vendors and internal stakeholders
  • Ability to travel up to 20% annually

In the first 90 days, the Capex Analyst has a clear handle on the project pipeline, is producing accurate reports on schedule, and is supporting the team's presentation. Within six months, they are the go-to resource for capex data and a trusted partner to the Capex Program Leader in keeping 36 communities moving forward.
