Cardiovascular Logistics (CVL), a premier cardiovascular physician management organization, is seeking an Executive Assistant to provide high-level administrative, operational and project support to the senior leadership team. The role will be based in Nashville, TN. Please note, no relocation assistance will be provided.


SUMMARY:

This role serves as a trusted partner, helping manage priorities, coordinate strategic initiatives, facilitate communications, and ensure efficient execution of organizational objectives. The ideal candidate is highly organized, proactive, discreet, and capable of managing multiple priorities in a fast-paced environment.

This individual thrives in a fast-paced, high-growth healthcare environment and has experience supporting multiple leaders simultaneously. The successful individual possesses exceptional organizational skills, sound judgment, business acumen, executive presence, and the ability to manage sensitive and confidential information.

KEY RESPONSIBILITIES:

  • Prepare agendas, presentations, reports, and briefing materials.
  • Coordinate travel arrangements and expense reporting.
  • Screen and prioritize communications, correspondence, and requests.
  • Assist with planning, tracking, and execution of strategic initiatives.
  • Monitor project timelines, deliverables, and action items.
  • Follow up with leaders and stakeholders to ensure completion of commitments.
  • Support cross-functional collaboration across departments.
  • Coordinate leadership meetings and support the planning and execution of board meetings and executive offsite events.
  • Capture meeting notes, decisions, and action items.
  • Draft internal communications, presentations, and executive updates.
  • Maintain confidentiality of sensitive business information.
  • Develop and maintain processes that improve operational efficiency.
  • Assist in creating dashboards, reports, and performance metrics.
  • Coordinate special projects and research assignments.
  • Support change management and organizational initiatives as needed.
  • Build positive working relationships across all levels of the organization.
  • Provide responsive and professional support to internal and external stakeholders.
  • Will be responsible for Corporate Office facility once permanent location is established.

QUALIFICATIONS:

  • Bachelor’s degree in business administration, Communications, Human Resources, or related field, or equivalent related experience.
  • 3-5+ years of executive support, project coordination, or business operations experience.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams).
  • Ability to manage confidential information with discretion.
  • Strong attention to detail and problem-solving abilities.

Preferred Experience/Skills

  • Experience supporting executives or senior leadership.
