Job Description:

Under broad supervision, performs a wide range of office administration duties for assigned functions or program areas; duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or

presentations. Represents program or unit and provides information and assistance to internal and external customers.

This position will regularly research the Investigations Spillman Database for information to complete legal requests from internal and external stakeholders.

RESPONSIBILITIES AND DUTIES

Processes Dispositions in a timely and efficient manner

Monitors the casefile approval process to meet deadlines

Processes all external case file requests (Legal, Secure facilities, etc.)

Ensures the OQA database is updated upon case closure

Storing, arranging, indexing, and classifying records.

Facilitating the development of filing systems and maintaining these to meet administrative, legal, and DJJ requirements.

Devising and ensuring the implementation of retention and disposal schedules. Overseeing the management of electronic and/or paper-based information.

Maintaining, reviewing, and ensuring the accuracy of record systems.

Identifying the most appropriate records management resources.

Advising on and implementing new records management policies and classification systems.

Ensuring compliance with relevant legislation and regulations.

Standardizing information sources throughout an organization or group of organizations.

Managing the transfer from paper to electronic records management systems. Resolving problems with information management by effective use of software and other information management resources.

Acts as a liaison for internal/external stakeholders, responding to internal and/or external information inquiries and advising stakeholders on the case management of the records and information to their respective divisions

DESIRED KNOWLEDGE, SKILLS, AND ABILITIES

Ability to establish and maintain productive working relationships with agency staff, Human Resources staff of facilities and offices, and others as required.

Ability to work on multiple tasks and prioritize appropriately.

Ability to exercise initiative and make independent decisions to meet deadlines or to handle priority work effectively.

MINIMUM QUALIFICATIONS

High school diploma/GED and four (4) years of job-related experience; or

Two (2) years of experience required at the lower-level Admin Assistant 2 (GST051) or position equivalent.

PREFERRED QUALIFICATIONS

Associate's degree in human resources, Business Administration, or related field

Progressively responsible experience in Case Management systems such as Spillman.

Experience in procurement processes.
