Job description

Under the direction of the Events & Corporate Support Supervisor, the role of Office Support & Engagement Coordinator serves as a key connector across the organization. By creating a welcoming, organized, and engaging office environment all while supporting a variety of operational, event, and reporting functions. Working closely with Business Insights, Sales, Marketing, IT, and Leadership teams, this role helps cultivate a connected workplace experience, coordinates meaningful employee and sales team initiatives, and provides critical administrative and reporting support that contributes to the organization's overall success. This position offers a dynamic mix of responsibilities, making it ideal for an individual who thrives on variety, collaboration, and creating positive experiences for internal stakeholders.

Candidates must reside in the Atlanta area to be considered for this role.

Primary Responsibilities and Essential Functions

Office Support (50%)

  • Retrieves mail/packages, organizes, and scans mail and checks weekly to the correct individuals while maintaining utmost confidentiality and timeliness
  • Monitors office supplies weekly and submits supply order requests to manager (or as needed)
  • Orders/stocks community snacks/beverages daily, ensuring that refreshments are available for meetings/events
  • Plans and orders office lunches each week, ensuring dietary restrictions are accommodated and meal quantities align with budget / in-person count
  • Monitors office maintenance requests to building management, maintaining clean and organized office space, coordinating document shredding when necessary
  • Coordinate weekly lunches with Leadership Team for Monday Meetings
  • Working in unison with Enterprise Priorities Partner (Executive Assistant) to complete all tasks needing support around Board Meetings, Office Renovations/Construction, etc

Events/Sales Support (30%)

  • Assists Event Supervisor in planning and executing internal company events such as sales meetings, annual holiday party (Bottling & HQ), department offsite lunches/dinners, and employee engagement activities
  • Coordinates and runs Channel, Tools, & Assets (CTA) meetings every 4 weeks
  • Coordinates and executes in unison with Event Supervisor the Annual Apparel Order and Bi-Annual POS Order for National and Regional Sales Teams
  • Coordinates ad hoc requests for point-of-sale material requests (non-custom), new hire apparel shipments, and rush sample requests

Reporting Support (20%)

  • Generates weekly reports for key retailers, distributors, channels and markets
  • Downloads and formats survey data while performing weekly VIP Data Audits; identifies and resolves discrepancies by working with respective functional areas to ensure data accuracy and integrity
  • Acts as liaison between National Sales and BIA for support on store-level mapping, Store Sku execution lists, and backend data support

Education/Experience

Required:

  • Proficient in Microsoft Office (Outlook, PowerPoint, Excel, Word)
  • Profound attention to detail and interpersonal skills
  • Excellent written and verbal communication skills

Preferred:

  • Undergraduate degree or equivalent experience
  • 2-3 years of experience as an Assistant or Coordinator

Work Environment: Standard professional office environment with an onsite work schedule. This position is expected to work onsite 5 days per week.
