We have and exciting opportunity for a front office assistant to join our growing team. The front office assistant performs clerical, secretarial, and front office duties, and supports the Business Administration Team. Responsibilities include but are not limited to answering telephones, receiving business guests, organizing and maintaining office inventories and amenities, and assisting with administrative tasks such as scheduling appointments and checking travel arrangements. The front office assistant must be organized, have good interpersonal skills, and a basic competency in common office computer applications.

ESSENTIAL DUTIES

General

· Maintain office forms and procedures and assist with administrative tasks.

· Answer central telephone system and direct calls accordingly.

· Receive the public and answers questions, in person and by telephone; respond to inquiries from employees, citizens and others and refer to the appropriate person, official or department.

· USPS Mail, Fedex support with collection shipping, label creation and supply order

· Operate office equipment as required.

· Prepare outgoing mail; sort and distribute incoming mail.

· Duplicate and distribute materials as required.

· Assist with composing, typing and editing of correspondences.

· Maintain and organize Restaurant Support Center (RSC) office, office supplies

· Manage and maintain company cars, including taking shared cars in for maintenance and car wash

· Manage office and store access including company security system, providing basic support when necessary (keys, key fob access, issue or delete access security codes)

· Maintain and stock the breakroom every morning, including unloading dishes from the dishwasher and running it at the end of the day.

· Prepare meeting rooms and assist with scheduling.

· Run errands as needed such as picking up catered food for meetings organized by the Business Admin Team.

· Assist with scheduling of various maintenance, store or RSC equipment related, communicate with relevant members and follow up.

· Provide basic technical support of tools used (Outlook Calendar bookings, Brivo Key Fobs, etc.)

· Support Administrative Assistants with travel arrangements (i.e. hotel bookings) and other tasks based on company needs

· Other tasks as assigned by Managers.

Education/Experience:

Language Ability:

Ability to effectively communicate with management in English. Ability to interact with all levels of management. Second or third language (Spanish strongly preferred) is helpful.
