Detailed Description:
Reporting to the Assistant Vice Provost for Enrollment Analytics, Systems and Research (AVP), the Enrollment Systems Analyst serves as a strategic systems analyst and technical lead for University of San Diego's graduate admissions CRM environment. This role provides hands-on troubleshooting in Slate, Slate user training, and Slate technical support while collaborating with campus partners to improve system functionality, reporting, and data integration. The role requires a blend of enrollment process expertise, strong data acumen, and the ability to translate business needs into scalable, automated technical solutions.
Duties and Responsibilities:
CRM Management
  • Serve as a functional expert and Slate Captain for Technolutions Slate, leading system design, maintenance, and optimization aligned with strategic enrollment goals.
  • Lead annual cycle preparation, including updates to forms, rules, application logic, and user interfaces.
  • Gather and translate business needs into technical requirements, collaborating with stakeholders to develop scalable solutions such as workflows, portals, dashboards, automations, and data integrations that enhance recruitment and admissions operations.
  • Maintain and support best-practice standards for styling, usability, and accessibility across student-facing systems.
  • Design, adapt, and implement system-wide enhancements in response to evolving departmental requirements and priorities.
  • Analyze and resolve complex, multi-layered technical and logical issues in direct support of the department's mission and operational goals.
  • Support evolving recruitment, application, and yield strategies by designing features that advance CRM usage beyond industry standards.
  • Maintain and enhance daily CRM operations (e.g., event management, querying, form development, and data uploads), ensuring data integrity and consistent user experiences.
  • Provide hands-on troubleshooting and first-level support for CRM-related issues, collecting details, diagnosing problems, managing user expectations, and escalating urgent or complex cases as needed. Work closely with campus partners and IT services to resolve system and application issues, ensuring a smooth user experience.
  • Monitor and resolve data errors with strong attention to detail and confidentiality.
  • Develop, maintain, and update portal experiences for prospective and incoming students, internal staff, and other key stakeholders.
  • Advise on system capabilities, limitations, and best practices while working closely with the AVP to optimize recruitment and marketing technologies.

Reporting and Data
  • Develop, test, and validate queries, reports, and dashboards with a consistent focus on accuracy and efficiency.
  • Support data-driven initiatives by identifying missing or critical data points, recommending improvements to data collection methods, and enhancing field structures and prompt logic within the CRM.
  • In collaboration with the AVP, analyze, map, and import data into and out of Slate on a regular basis, including NursingCAS, test scores, external vendors, and other offices.
  • Collaborate with the AVP to maintain data integrity and quality by proactively identifying and resolving issues, validating reports, and implementing processes that support long-term system reliability and accurate data flow.
  • Respond to ad hoc data and query requests from leadership and partner departments, ensuring clarity, consistency, and responsiveness to strategic priorities.
  • Collaborate with AVP and campus stakeholders to evaluate data needs, manage access protocols, and maintain documentation for recurring and customized data deliverables.
  • Update and maintain inquiry and applicant records.

Other Duties
  • Develop and maintain comprehensive documentation of Slate processes, configurations, and data workflows to support transparency, training, and system continuity.
  • Provide user support and training resources for staff across functional areas with varying technical skill levels, promoting consistent and effective use of Slate and related systems.
  • Collaborate with IT and institutional partners to maintain smooth data integration across platforms, troubleshoot technical issues, and support system enhancements.
  • Continuously assess and refine operational processes to improve efficiency, reduce manual work, and align with best practices in admissions technology.
  • Contribute to cross-functional enrollment initiatives by assisting with system support for recruitment events, communication flows, and admissions cycle milestones.
  • Assist with preparation, execution, and staffing of major on-campus admissions events and other institutional initiatives as needed.
  • Provide backup support for file evaluation, communications deployment, or other operational functions during peak times or staff absences.
  • Perform other related duties as requested.

Degree Verification Requirement: Persons offered employment in this position will be required to provide official education transcripts for degree verification purposes.
Job Requirements:
Minimum Qualifications:
  • Bachelor's degree in a relevant field and four or more years of professional related experience, or an equivalent combination of education and experience sufficient to perform the essential job functions (at the rate of two years of higher education is equivalent to one year of work experience).
  • Commitment to inclusive excellence, and the success of diverse student populations.
  • Demonstrated ability to understand and navigate complex relational databases and write advanced data queries.
  • At least 2 years of experience with Technolutions Slate or a similar Customer Relationship Management (CRM) system.
  • Working knowledge of SQL and HTML.
  • Experience working in a Student Information System (preferably Ellucian Banner).
  • Demonstrated initiative and problem-solving ability while working independently.
  • Excellent verbal, written, and interpersonal communication skills.
  • High adaptability and comfort with change, interruptions, and shifting priorities.

Preferred Qualifications:
  • Five or more years of professional related experience.
  • Advanced proficiency in HTML and SQL.
  • Experience with graduate admissions.
  • Experience designing and delivering end-user training or technical documentation.
  • Experience translating business requirements into technical specifications.
  • Experience as a Slate Captain or possess a Slate Certified credential.
