Position Summary Administrative Assistant Department of Computer Science College of Business and Computing Primary Responsibilities Provide full administrative support to department and faculty Greet visitors, answer phone lines, schedule campus visits while providing quality customer service to constituencies Calculate, record, balance, and monitor monthly income, expenditures, and account transfers Process purchase requisitions and invoice payments Enter detailed class information and instructor information into Banner for each term Contact publishers for textbook desk copies and process textbook requests from faculty Maintain department waiting lists for classes and run prerequisite checks for classes Complete bookkeeping requirements related to faculty/staff/student professional development and travel Help organize, attend, and take minutes at all department meetings Maintain various department mailing lists Maintain all department inventory (hardware, software and supplies) Compose and produce letters, memos, and reports Maintain and organize department and student files, both paper and electronic Schedule appointments, meetings, make reservations and travel arrangements Correspond with current and prospective students Help maintain department web page Supervise and manage student workers and organize the flow of work through the office Required Qualifications High school diploma or GED Demonstrated administrative skills, including excellent interpersonal, verbal, and written communication skills Proficient knowledge of Word and Excel Excellent organizational and time management skills Demonstrated ability to handle multiple tasks with frequent interruptions Demonstrated ability to work independently with minimal supervision Evidence of accuracy in recording data and attention to detail Demonstrated ability to maintain positive relationships and understanding of customer service Experience with bookkeeping, contracts, and budget management (purchasing, accounts payable, receivables, etc.) Ability to handle sensitive and confidential information Required Information & Deadline Application Deadline: Review of applications will begin immediately.
