Job description

BOOKKEEPER (PART-TIME)
The Merciful Love of Jesus Family of Parishes is a Roman Catholic family of (three) parishes located in the northern part of Macomb County Michigan.
POSITION SUMMARY:
Working under the supervision of the Director Mission Support (or Pastor), the bookkeeper is responsible for the day-to-day operation and maintenance of the financial records (general ledger), including accounts payable and reconciliations. This position is part-time (10 hours maximum per week), not eligible for benefits, wage to be discussed, and is based in Memphis, Richmond, and Armada, Michigan.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Conduct all duties associated with accounts payable including: interacting with staff and vendors; processing invoices; expense coding; and data entry.
  • Conduct all duties associated with accounts receivable including: overseeing volunteer weekend collection counters; coordinating bank deposits; and tracking and following up on all accounts receivable.
  • Conduct all duties associated with bi-weekly payroll, including inputting data to (Payroll system).
  • Perform monthly bank reconciliations.
  • Process cash disbursements and assists in cash management.
  • Assist in gathering required documents as backup to vouchers.
  • Assist in 1099 preparation.
  • Assist with preparing annual audit schedules.
  • Assist with any government audit that may occur.
  • Gather all necessary financial reporting to federal, city and state agencies, as needed.
  • Perform special projects and duties as assigned.
  • Close month-end tasks according to the deadline.
  • Prepare month-end reports for monthly finance council meetings
  • Assist with creating, establishing and safe-guarding necessary financial controls for the family of parishes.
  • Complete all year-end employee tax records and all other year-end tax documentation.
  • Complete special reports for the board, Archdiocese, etc., as needed.
  • Assist with developing the budget under the guidance of the Pastor and Director of Mission Support.
  • Other duties may be assigned.

KEY ORGANIZATIONAL RELATIONSHIPS:
This position works in close collaboration with:
  • The Merciful Love of Jesus Family of Parishes Leadership Team, Directors and Staff, including other bookkeeper, who oversees the financials at Holy Family, in Memphis, and St. Augustine, in Richmond.

MINIMUM REQUIREMENTS:
  • Accounting degree (or an equivalent degree) with sufficient related experience, preferably with a nonprofit organization, or with equivalent work experience.
  • Good/ working knowledge of standard accounting practices.
  • Working knowledge of the following information systems:
  • Sage Intacct
  • Google Drive, Google Docs, Google Sheets, Etc.
  • Microsoft Office - Word and Excel a must.
  • Must possess a keen attention to detail and a commitment to high quality work.
  • Excellent organizational and follow-through skills, ability to multi-task, prioritize and work under deadlines.
  • Good communication (both verbal and written) skills, especially with the courage to timely report concerns or issues.
  • Ability to maintain strict confidentiality and communicate in a professional manner with The Merciful Love of Jesus Family of Parishes pastor, clergy, staff, benefactors, and vendors.
  • Ability to deal effectively with a variety of people and work in a team environment.

The physical requirements and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires manual dexterity sufficient to operate phones, computers, and other office equipment. The position requires the physical ability to kneel, bend and perform light lifting. This person must have the ability to write and speak clearly using the English language to convey information and be able to hear at normal speaking levels both in person and over the telephone. Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus. The working conditions are good with little or no exposure to extremes in health, safety hazards and/or hazardous materials. Though work is normally performed in an office setting, this person must have the ability to travel as required to work with staff.

HOURS: 10 hours weekly maximum
WAGE: $17 to $21 per hour
OFFICE LOCATION: St. Mary Mystical Rose, in Armada, Michigan, assisting at other locations, as needed, especially for medical necessity or to give the other bookkeeper time off. The same courtesy will be extended by the other bookkeeper.
