Job description

The Business Office Coordinator with the Louisville Thoroughbred Society is responsible for managing the organization’s day-to-day administrative, payroll, bookkeeping, and employee onboarding functions. This role serves as the operational backbone of the office, ensuring financial accuracy, regulatory compliance, organized employee records, and efficient internal support across departments.

Duties & Responsibilities

Payroll Administration • Manage timekeeping system and resolve discrepancies. • Prepare payroll for processing by accountant • Coordinate with accountant as needed • Ensure compliance with federal, state, and local payroll regulations. • Prepare payroll-related reports for leadership. • Manage timekeeping system and resolve discrepancies. Employee Onboarding & HR Administration • Post job postings and coordinate interview scheduling • Coordinate new hire onboarding process. • Prepare and maintain employee personnel files (digital and/or physical). • Ensure completion of required documentation (I-9, W-4, direct deposit forms, policy acknowledgments). • Assist with benefits enrollment and changes. • Support offboarding processes and final payroll coordination. Bookkeeping & Financial Support • Manage accounts payable and accounts receivable. • Reconcile bank and credit card statements. • Record journal entries and maintain accurate general ledger entries. • Assist with monthly financial reporting. • Track expenses and assist with budget monitoring. • Maintain organized vendor files and payment schedules. • Support annual audit or tax preparation processes. Operations Support • Provide administrative support to leadership and department managers. • Maintain office systems, filing structures, and documentation processes. • Coordinate vendor communications and service contracts. • Assist with purchasing and supply management. • Support event logistics or operational projects as needed. • Help improve internal systems and workflow efficiency.

Qualifications

Required Skills and Abilities: • Strong attention to detail • High level of discretion with confidential information. • Excellent organizational and time management skills. • Ability to multi-task and be flexible in supporting departments Required Experience: • Associate’s in Accounting, Business Administration, or related field or related experience • 2 years of experience as an Office Manager, Payroll/HR Administrator, or related field • Proficiency in accounting software (QuickBooks, Sage, or similar). • Experience with payroll systems (ADP, Paychex, Gusto, etc.). • Strong experience working knowledge of Microsoft Office (Excel required) and Google Workspace Preferred Experience: • Bachelor’s degree in Accounting, Business Administration, or related field or related experience • Experience in private club, hospitality, or small business environments
