Job description

Payment Operations Support Specialist

This position will be flexible and responsible for providing cross-functional operational support across all areas of the Payment Operations Department. The Payment Operations Support Specialist will be fully cross trained across all Payment Operations functions and will serve as backup coverage for critical daily activities, ensuring continuity of service and operational accuracy.

In addition, this position will assist the Payment Operations Manager with department projects, process improvements, reporting, and special assignments to enhance efficiency, compliance, and member service.

Major Duties and Responsibilities:

Cross-Functional Operational Support

  • Provide comprehensive support across all Payment Operations functions, including accounts payable and vendor payments, JCPS payroll processing, debit and credit services, ACH and wire processing, check and draft processing, online banking A2A transactions, and mobile banking/ATM check deposits, etc.
  • Ensure all transactions are processed accurately and on time while maintaining compliance with internal controls and established member service standards.
  • Serve as primary backup for multiple Payment Operations roles, stepping in to support coverage during staffing gaps, peak volumes, or urgent needs.
  • Maintain working knowledge of all departmental processes to ensure seamless workflow continuity and minimize operational risk.

Support the Payment Operations Manager with key department initiatives, including:

  • Process improvement and streamlining efforts.
  • Assist with system enhancements by participating in testing and validation to ensure functionality meets business needs.
  • Contribute to the development, documentation, and maintenance of departmental procedures.
  • Provide audit and compliance support by helping maintain accurate, up-to-date documentation and readiness for reviews.
  • Assist with special projects and other initiatives as needed to support operational goals and continuous improvement.

Reporting, Reconciliation, and Specialized Support

  • Assist with daily, monthly, and ad hoc reporting and reconciliation activities to ensure accuracy and timeliness.
  • Process monthly IRA distributions and related transactions, ensuring proper handling of retirement account activity.
  • Support tax reporting functions by preparing, validating, and distributing IRS-related reports in compliance with regulatory requirements and Credit Union procedures.
  • Provide responsive internal and member support for Payment Operations inquiries, resolving issues professionally and efficiently.
  • Perform additional duties as assigned to support departmental goals and operational needs.
