The Bid Coordinator evaluates potential opportunities and distributes to applicable salespeople for further evaluation and coordination. The Bid Coordinator manages all aspects of the project bidding process in coordination with the Sales Manager and Sales Team.

Job responsibilities include (but are not limited to) the following:

  • Review bid invites and opportunities in online plan centers daily
  • Identify likely projects to bid on based on company strengths and criteria
  • Publish and coordinate a bid list with our contractor customers weekly
  • Download, organize, and compile necessary plans and specifications
  • Manage the project bid list and disseminate information to the appropriate account manager
  • Add opportunities to database and download documents as requested
  • Provide bid lists and follow-up lists to Sales Manager weekly
  • Update and maintain the target projects list
  • Assist the Sales Manager with tracking key Innovative Air metrics around achieving the basis of design and minimizing product substitution requests with consulting engineer account
  • Own the substitution request process to ensure Innovative Air product approvals
  • Respond to customer bid queries (confirm whether Innovative Air is bidding or not)
  • Assist with scope development and product take-offs as requested by the Sales Team
  • Assist the sales team with bid-day communication of scopes, proposals, and pricing
  • Communicates with customers and their representatives, including building owners, mechanical contractors and field support staff

Education & Experience Requirements:

  • Associate's Degree with a minimum of two (2) years of related experience, or an equivalent combination of education and experience.
  • Proficiency in Microsoft Office and Adobe Acrobat required.
  • Familiarity with HVAC systems and temperature control equipment preferred; experience with review and understanding of construction drawings preferred.
  • Past experience as a construction project estimator for a mechanical or sheet metal contractor is desired.
  • Must have exceptional written and verbal communications skills.
  • Must demonstrate the ability and willingness to communicate in a clear, concise, and diplomatic manner.
  • Outstanding attention to detail, willingness to collaborate in a team setting, and excellent organizational skills are critical in a culture valuing honesty, integrity, dedication, resourcefulness, independence, and taking ownership.
  • Must have ability to develop and maintain customer and stakeholder relationships based on trust
