Job description

The Bid Coordinator will support the estimating department from the company’s Prague, Oklahoma office. This position is responsible for requesting and tracking vendor and subcontractor quotes, organizing bid documents, maintaining estimating information in HCSS, and assisting the estimating team throughout the bidding process. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple deadlines and communicating with vendors and subcontractors.

Location & Travel Details: 

This position is based at McKee Utility’s Prague, Oklahoma office. The role is primarily office-based, with occasional travel to other company offices, project sites, or pre-bid meetings as needed. Travel is expected to be limited.

  • Contact vendors, suppliers, and subcontractors to request project quotes.
  • Distribute plans, specifications, and other bidding documents.
  • Track outstanding quote requests and follow up before bid deadlines.
  • Organize vendor and subcontractor quotes for estimator review.
  • Enter, update, and maintain bid information within HCSS HeavyBid.
  • Maintain organized electronic bid folders and estimating records.
  • Track bid dates, addenda, pre-bid meetings, and submission deadlines.
  • Download and distribute updated plans, specifications, and addenda.
  • Maintain accurate vendor, supplier, and subcontractor contact information.
  • Assist estimators with bid forms, proposals, spreadsheets, and supporting documentation.
  • Help ensure bid packages are accurate, complete, and submitted on time.
  • Perform additional administrative duties as needed to support the estimating department.

Work Experience and Education

  • High school diploma or equivalent.
  • Previous experience in construction, estimating support, bid coordination, or office administration is preferred.

Knowledge, Skills and Abilities

  • Strong written and verbal communication skills.
  • Professional telephone and email communication skills.
