Job description

As a Bid Coordinator, you will play a critical role in supporting a high-volume, fast-paced bid environment. You will ensure opportunities are tracked, documented, and submitted accurately and on time, helping the team win business while maintaining compliance and operational excellence. This is an opportunity to work cross-functionally, build expertise in sales operations, and directly contribute to business growth. 

What you'll be doing: 

  • Monitor incoming bid opportunities from GovSpend and other data sources 

  • Upload and maintain opportunities and pricing requests in Salesforce and bid tracking systems 

  • Ensure all required fields are complete and accurate 

  • Maintain up-to-date status tracking across the full bid lifecycle 

  • Small bid support including pricing, narratives, and submission 

  • Source and compile required documentation such as certifications, insurance, and compliance materials 

  • Pull standard proposal content from Loopio 

  • Assemble submission packages and manage uploads to procurement portals 

  • Track deadlines and proactively send reminders to stakeholders 

  • Identify risks, missing information, or delays and escalate appropriately 

What you bring to the table: 

  • Strong attention to detail and organizational skills 

  • Ability to manage multiple deadlines in a fast-paced environment 

  • Experience working with CRM and document management tools 

  • Comfort working with data and maintaining accuracy 

  • Ability to follow structured processes while identifying improvements 

  • Strong written and verbal communication skills

  • Strong MS Excel experience 

What's needed- Basic Qualifications 

  • 1+ of administrative, sales support, or bid/proposal experience 

  • Experience with CRM systems, AI tools, and document management tools 

What's needed- Preferred Qualifications: 

  • Experience supporting public sector bids or procurement processes
