Summary:
Provides general administrative and clerical support to department leaders and team members in an office environment. Assists with routine correspondence, basic report preparation, scheduling, and record maintenance. Performs assigned tasks with professionalism, attention to detail, and adherence to established procedures.

Responsibilities:

  • Provide routine administrative support, including basic word processing, spreadsheet updates, filing, and preparation of standard reports or presentation materials.
  • Assist as a point of contact for the department, responding to routine inquiries and directing questions to appropriate staff or leaders.
  • Provide reception or front-desk coverage as assigned, greeting visitors and answering phones in a professional and courteous manner.
  • Coordinate basic travel arrangements as directed (e.g., domestic bookings, calendar entries, and expense submission support).
  • Assist with the collection and entry of departmental time records, following established guidelines and timelines.
  • Maintain departmental filing systems (electronic and physical) to ensure documents are organized, accurate, and easy to retrieve.
  • Support meetings and department activities by scheduling rooms, preparing materials, and taking notes or tracking simple action items when requested.
  • Perform data entry and basic spreadsheet updates to support department tracking and reporting needs.
  • Maintain a clean and organized work area and follow workplace safety and professionalism standards.
  • Handle routine departmental information appropriately and escalate sensitive matters to management as needed.
  • Provide backup administrative support to other team members when workloads require.
  • Participate in training and follow standard work processes and continuous improvement practices.

Education / Experience

  • High School Diploma or equivalent required.
  • Associate's degree or coursework in business administration or a related field preferred.
  • 1-3 years of progressively responsible administrative experience in a corporate or professional office environment.
