Job description

Essential Duties

·       Operate safely and in compliance with all established HSSE policies and procedures

·       Ensure DVIRs are filled out entirely and creates an initial service order

·       Work with technicians and shop leads to coordinate service times between the Shop and Operations

·       Meets with operations and equipment control to understand requirements and provide information to the Service Team

·       Act as a liaison between departments and ensure accurate communication about repair times, order completion, and dispatch notification

·       Contact operations or drivers in the case of additional work; relay details of additional work and time delay, if any

·       Enter service/repair details in the system, proofing repair descriptions

·       Confirm parts and labor are billed correctly

·       Input Vendor ROs and confirm proper invoicing

·       Check warranties, tags, and inspection dates to confirm they are current correct and that no additional repairs are required

·       Issue purchase orders; code, track, and report expenditures as directed

·      Serves as the primary point of contact for the shop, handling administrative support duties, responding to calls, distributing mail and packages, document imaging of licensing, certifications, and inspections, etc.

·       Provide excellent customer service to internal and external customers

·       Develop and maintain positive working relationships with the shop staff, peers, customers, and management

·       Performs other duties as assigned


Qualifications

·       High school diploma or equivalent GED

·       Two to three years administrative experience, experience in a vehicle or maintenance equipment shop preferred

Knowledge, Skills, and Abilities

·       Basic technical understanding of truck/automotive functionality

·       Working knowledge in MS Office applications including Word, Outlook, and Excel

·       Excellent written, verbal, and listening skills

·       Ability to understand and relate technical issues to the service team from non-technical descriptions and sources

·       Excellent customer service, time management, and organizational skills

·       High level of attention to detail and accuracy; audit and approve own work

·       Follows instructions, responds to management direction, takes responsibility for own actions, completes tasks on time, or communicates alternate plans
