Description
POSITION SUMMARY:
The Automotive Service Dispatcher is responsible for coordinating the flow of work through the service department by scheduling appointments, writing clear repair orders, assigning work to technicians based on skill level and shop capacity, and keeping customers and advisors informed of repair status. This role supports a safe, efficient, and customer-focused operation by maintaining accurate documentation and ensuring timely communication between customers, advisors, technicians, and parts.
ESSENTIAL DUTIES:
  • Review repair orders (ROs) with accurate customer/vehicle information, concerns, authorizations, labor operations, and notes.
  • Dispatch work to technicians according to skill level, certifications, efficiency, and workload; balance shop capacity throughout the day.
  • Monitor work-in-progress, identify bottlenecks, and adjust dispatch priorities to meet deadlines and customer commitments.
  • Coordinate with Parts to confirm availability, order status, and expected delivery times; communicate delays promptly.
  • Provide timely status updates to service advisors and/or customers, including changes to completion times or additional repair needs.
  • Ensure all required documentation is complete (authorizations, estimates, warranties, sublet, and quality checks) prior to vehicle delivery.
  • Support warranty and internal repair processes by verifying proper coding, notes, and supporting details in the RO.
  • Maintain shop scheduling tools (DMS, dispatch board, calendars) and keep technician time accurately assigned.
  • Promote a safe, clean, and organized work environment; follow all dealership/company policies and OSHA/safety requirements.
  • Assist with cashiering, invoicing, or vehicle delivery coordination as assigned.
  • Other duties as assigned

Requirements
EDUCATION and/or EXPERIENCE/ QUALIFICATIONS:
  • High School Diploma
  • Ability to read and comprehend instructions and information.
  • Automotive Service dispatcher experience preferred.
  • Will be trained on dealership computer systems, cash register and other office machines.
  • Professional personal appearance.
  • Ability to communicate effectively amongst peers and clientele.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:
  • While performing the duties of this job, the employee is regularly required to talk or listen. The employee is regularly required to sit; use hands to finger, handle, or feel.
  • Duties are performed primarily at a desk. Work includes frequent clerical and administrative responsibilities and interaction with managers and employees.
  • Prolonged periods of sitting.
  • Must be able to lift up to 20 pounds at times.
  • Occasional lifting, standing, crawling, reaching, use of stairs.
  • Occasional attendance at social gatherings.
  • Ability to travel occasionally.
