Job description

Automotive Office Assistant / Parts Coordinator

We are looking for an organized, dependable Automotive Office Assistant / Parts Coordinator to help manage the day-to-day operations of our busy auto body shop and dealership.

Responsibilities

  • Order automotive body, mechanical, and OEM/aftermarket parts
  • Search for the best pricing and availability on parts
  • Track all parts orders and deliveries
  • Handle incorrect, damaged, and unused parts returns
  • Communicate with dealerships, parts suppliers, junkyards, and vendors
  • Match parts and expenses to the correct vehicle/VIN
  • Keep records of parts costs and repair expenses for each vehicle
  • Create and organize invoices, receipts, and purchase orders
  • Maintain vehicle files, titles, bills of sale, and other paperwork
  • Update vehicle repair and parts status
  • Follow up on backordered or missing parts
  • Answer phone calls, emails, and vendor messages
  • Help coordinate technicians, vehicles, and parts needed to complete repairs
  • Maintain an organized office and filing system
  • Assist management with daily shop and dealership operations

Requirements

  • Automotive experience or automotive parts knowledge strongly preferred
  • Previous body shop, dealership, repair shop, or parts department experience is a major plus
  • Must be comfortable identifying and ordering automotive parts
  • Good computer and organizational skills
  • Strong communication skills
  • Must be dependable, responsible, and able to multitask
