Office Manager – Automotive Dealership

We are seeking an experienced and detail-oriented Office Manager to oversee the daily operations of our dealership’s administrative functions. The ideal candidate will have a strong background in automotive office management, with a preference for individuals familiar with Toyota processes and Reynolds & Reynolds dealership management software.

Job Responsibilities

  • Manage and oversee daily operations of the dealership office, ensuring efficient workflow across all administrative functions

  • Supervise office staff, including hiring, training, scheduling, and performance management

  • Maintain accurate records for accounting, vehicle sales, registration, and title processing

  • Ensure compliance with all dealership policies, state regulations, and manufacturer requirements

  • Coordinate closely with the sales and service departments to support customer and operational needs

  • Oversee the preparation and submission of financial statements, payroll, and internal reports

  • Reconcile bank statements and general ledger accounts

  • Monitor and maintain internal controls and dealership documentation

  • Liaise with external vendors, auditors, and financial institutions as needed

Requirements

Candidates should demonstrate strong organizational, leadership, and communication skills. Knowledge of Toyota dealership operations and Reynolds & Reynolds software is highly preferred. Familiarity with DMV processes and automotive retail financial reporting is a strong asset.

Education and/or Experience

  • High School Diploma or GED required; Associate’s or Bachelor’s Degree in Business Administration or Accounting preferred

  • Minimum 3 years of experience in an automotive dealership office setting

  • Prior experience with Reynolds & Reynolds and Toyota dealership procedures strongly preferred
