Job description

Responsibilities:

The ideal candidate must be able to perform the following essential job functions with or without reasonable accommodations:

  • Manage meet and greet/interviews meetings with BT’s
  • Submit and confirm initial assessment authorization
  • Confirm eligibility and client benefits on all referrals
  • Assist management of SanData
  • Upload documents to Care Connect
  • Manage center capacity and scheduling
  • Sign technicians and clients in/out of the center
  • Maintain adequate supplies in center and office through proper inventory management
  • Communicate with Centria Facilities Manager and property manager as appropriate on any maintenance needs
  • Maintain center budget
  • Manage day to day facility operations to ensure facility is a safe and clean environment at all times
  • Manage iPads – handle iPad contracts and iPad assignments. Assure iPad deliver to therapists. Manage iPad return when technicians quit or are terminated
  • Assure center is meeting BHCOE requirements
  • Greet guests in the office
  • Manage voicemails
  • Clean center daily (organize, trash, wipe down counters and toys)
  • Attend BT recruiting events
  • Schedule and coordinate QBS training
  • Assist BT’s with any IT or payroll coordination
  • Conduct iPad training with BT’s
  • Organize Saturday schedules with center clients
  • Assure center is staffed when out of the office
  • Coordinate with CSM, OD, BCBA, RCD to assure all office and center needs are met

Key Performance Indicators-

  • BT utilization – Goal is 80% for center-based clients
  • Center usage to capacity: Goal to achieve 100% usage to capacity based upon available clients for the center
  • 100% Initial Assessment Authorization- measured by FCT reviews
  • Maintenance of monthly office budget
  • Inter-office conflict management measured through number of technician and BCBA complaints received with goal of minimizing this to no more than 1 per quarter
  • Recruiting 10 BT’s per quarter through recruiting events
  • Effective management of facilities measure through regular inspection of facilities to ensure center is clean and safe. Any justified complaints by outside parties (CMH inspection etc.) regarding anything within the control of the center coordinator will be used to measure performance in this area
  • Bi-weekly performance reviews with Operations Director

 Required Qualifications, Skills, and Knowledge:

  • Bachelor’s degree or equivalent experience
  • Experience in a high pressure, customer facing role
  • Proven track record in building positive relationships with clients
  • Collaborative personality and able to build strong personal relationships
  • Highly organized, with attention to detail and a dedication to resolving issues
  • Calm and effective under pressure. Able to remain professional in high stress situations
  • Able to plan, execute and manage high volumes of work
  • Ability to effectively and professionally communicate with internal and external clients
  • Requires strong analysis, judgment, negotiation, and problem-solving skills
  • Flexible attitude in accepting unique and non-standard solutions
  • Able to train and/or mentor others
