Position Title: District Auditorium and Prop Room Manager
Start Date: When Filled
Job Summary: Responsible for the management of the St. Anthony-New Brighton School District's auditorium and prop room. The Auditorium and Prop Room Manager plays an important role in overseeing the daily operations, technical functions, and event coordination within the auditorium. This position ensures the proper execution of events by managing scheduling, supervising technical operations, and maintaining the facility and an orderly prop room while delivering exceptional customer service to internal and external users. The Auditorium and Prop Room Manager reports to the District Operations and Facilities Coordinator.
AUDITORIUM MANAGEMENT
- Event Scheduling and Management:
- Creates and manages a master auditorium calendar, including scheduling of events, and coordination with ISD 282 staff and students, Community Services, and other stakeholders.
- Ensures proper technical setup and staffing for auditorium events.
- Provide oversight for event setup and breakdown, including stage configuration, seating arrangements, and audio/visual equipment.
- Technical Operations and Knowledge:
- Ensures proper operation of audio/visual elements for events through operation and maintenance of technical, lighting, and projection equipment.
- Troubleshoot technical issues and arrange for repairs when needed.
- Organization and tracking of all equipment in the sound and lighting booth, in the auditorium space, and on the stage.
- Staffing:
- Collaborates with Community Services for facility, staff, and equipment needs for outside events.
- Provide training for event staff as necessary, and ensure there is adequate staffing for events, as needed.
- Provides and ensures appropriate technical coverage for school performances.
- Facility Management:
- Inspect the auditorium regularly for maintenance needs and coordinate repairs with facilities staff.
- Oversees the layout and equipment needed for events in the auditorium, including seating, stage, storage, and common areas.
- Ensures all stage equipment is returned to designated locations, and the stage is cleared and ready for the next user group.
- Collaborates with users and group supervisors regarding their responsibilities for the return of props, and equipment to their designated location.
- Ensure compliance with OSHA standards, safety regulations and emergency procedures.
- Collaborates with stakeholders on who has access to the sound and light booth from each user group, oversees a system for said stakeholders to contribute toward the organization, and upkeep of equipment and facility.
- Develop and communicate user guidelines and regulations.
- Customer Service:
- Properly responds to inquiries from potential clients regarding event booking and facility capabilities.
- Address customer concerns and provide excellent service.
- Budgeting and Reporting:
- Monitor event expenses and ensure adherence to budgetary guidelines.
- Generate utilization reports
- Provide input to District facilities staff for short-term, and long-term equipment, technology, and facility needs.
- Required Skills and Qualifications:
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities to interact with clients and staff
- Technical knowledge of audio/visual equipment and stage management
- Basic understanding of facility maintenance and repair
- Customer service focus and ability to handle pressure situations
- Experience in event planning or venue management preferred
- Work is to not interfere with regular responsibilities and job duties.

PROP ROOM MANAGEMENT
The Prop Room Supervisor will be responsible for coordinating and participating in the overall operation of the St. Anthony Village MS/HS Scene Shop. His/her duties include support for theatrical productions, student education, and facility maintenance, and includes the following:
- Overall Management:
- Coordinate, participate in and supervise the overall operation of the Scene Shop to ensure an organized, efficient and safe environment for the purposes of theatrical production, student education and facility maintenance.
- Technical Assistance:
- Provide technical assistance and consultation for groups using the scene shop. Groups include but are not limited to the following: MS Drama, HS Drama, Community Theater, Pops Concert, Student Council, Showtunes, and rental groups.
- Strike and Waste Management:
- Be available for Technical rehearsals and Strike for all performances. Assisting with the operation of the pulley system from stage to shop. Ensure all production waste is disposed of properly and coordinate with Building and Grounds when disposing of large quantities.
- Health and Safety:
- Instruct students, staff and volunteers in the proper use of tools, equipment, scenic construction methods and safety procedures.
- Develop procedures and standards for use of the Scene Shop by students, staff and volunteers that reflect the needs of users of the theater facilities and that ensure a safe working environment.
- Maintain first aid supplies for shop and all theater spaces.
- Budget:
- Prepare cost and time estimates for special construction projects; prepare billing information upon project completion. Maintain financial records for scene shop expenses and prepare an annual cost estimate for expendables inventory. Theatrical and event production set materials must be approved by the Prop Room manager.
- Inventory and Record Keeping:
- Document and maintain a current inventory of all reusable "tools"; develop and implement an inventory system for expendable materials, taking into account users' needs, the cost to the department, and a cost-recovery system.
- Maintenance:
- Assist in the general maintenance and repair of theater equipment; repair theater equipment requiring shop work.
- Maintain scene shop areas in a neat and organized manner.
- Other duties:
- Perform other related duties incidental to the work described herein.
