Summary: The Athletic Secretary is responsible for performing financial and clerical duties for a school including answering and routing calls, greeting and directing visitors, typing correspondence, entering data, operating office equipment, preparing financial records for school activity accounts, and providing support to students, staff, families, and visitors to promote a positive schooling environment. Finally, the athletic secretary is responsible for assisting with student physicals and fees as well as assisting the Athletic Director with scheduling, administrative tasks, etc.
Primary Responsibilities:
  • Receive and direct calls, greet and check-in visitors, answers inquiries
  • Verify and enter data, manage records, and run reports from student information system related to student grades, eligibility, athletic participation documents, athlete fee waivers, attendance, and team rosters
  • Assist with travel arrangements for athletics and activities
  • Provide first aid and administer student medications, adhering to District and state policies
  • Inventory and stock office supplies, educational materials, athletic uniforms, and maintain athletic storage facilities
  • Assist in scheduling meetings, trainings, special events and appointments in the building and assist with set up of all events to include picking up items outside of the campus, as needed
  • Sort, distribute, and prepare mailings and award letters
  • Utilize Infinite Campus to send messages to parents, update student information and student attendance
  • Communicate and provide customer service with Athletics/Activities Director, parents, athletes, booster organizations, staff, game workers, media, District personnel, officials, assigners, coaches, Colorado High School Athletic Association (CHSAA), District Athletic Coordinator, and custodial event staff
  • Manages and reconciles school activity and athletics accounts and prepares monthly reports for the Board of Education and is responsible for cash management
  • Assists with scheduling referees and activity workers for athletic contests
  • Utilize the Arbiter system to ensure student sports registrations and physicals
  • Processes activity requisitions and places orders as needed
  • Any and all other duties as assigned

Requirements:
  • High School Diploma or equivalent
  • Previous administrative/clerical experience preferred, but not required
  • First Aid/CPR/Medication Administration/CPI Training required and provided upon hire
  • Criminal Background Check

Salary and Benefits:
The hourly rate for this position is $17.50 to $19.00 per hour depending on years of relevant experience. See the Classified Salary Schedule under "Work for Weld Re-9" at weldre9.org.
