Job Description
The Assistant Athletic Director for Events provides leadership and oversight for game-day operations, facility scheduling, and event management for all intercollegiate sports. This individual ensures that all home contests are conducted in compliance with NCAA, Lone Star Conference, and University requirements while providing a high-quality experience for student-athletes and fans.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Game-Day Operations & Management
  • Event Execution: Oversee the setup and breakdown of all home athletic events (e.g., basketball, football at the stadium, soccer/softball complexes).
  • Game Staffing: Recruit, hire, train, and supervise event personnel, including ticket takers, ushers, clock operators, PA announcers, and ball boys.
  • Visiting Team & Officials Liaison: Serve as the primary point of contact for visiting teams and game officials (referees/umpires), ensuring their locker room and travel needs are met.
  • Hospitality: Coordinate VIP areas, donor hospitality suites, and student-athlete tailgating events.

Compliance & Risk Management
  • NCAA/LSC Rules: Ensure all events adhere to Lone Star Conference operating codes (e.g., crowd control policies, artificial noisemaker rules, and media timeouts).
  • Safety Protocols: Collaborate with Associate AD and AD todevelop and implement Emergency Action Plans (EAPs) for each venue, coordinating with campus police and EMS.
  • Risk Mitigation: Conduct regular safety walkthroughs of venues to identify and fix potential hazards.

Financial & Administrative Oversight
  • Budget Management: Manage the operations budget for game-day expenses, facility maintenance, and student worker payroll.
  • Bid Hosting: Lead the application process to host LSC or NCAA postseason championships (Regionals/Elite Eights).
  • Vendor Management: Assist in negotiation and management of contracts with outside vendors (concessions, cleaning crews, security, etc.).

KNOWLEDGE, SKILLS & ABILITIES:
Minimum Qualifications
  • Bachelor's degree from an accredited institution
  • Minimum three (3) years' experience in athletic administration and/or event management
  • Familiarity with NCAA Division II rules
  • Excellent interpersonal communication skills
  • Physical Requirements
    • Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
    • Working in all weather conditions, exposure to high noise levels, standing throughout the day

  • Ability to travel and work beyond normal office hours, including nights, weekends and holidays.

Preferred Qualifications
  • Masters in Sports Administration or related field
  • Minimum five (5) years' experience in athletic administration and/or event management
  • Collegiate level athletic administration or event management experience
  • Proficiency in event software (e.g. Teamworks)
