Project Coordinator โ€“ Mechanical Contractor

Position Summary

We are seeking a highly organized and detail-oriented Project Coordinator to support commercial mechanical construction projects throughout the Kansas City Metro area. This position works closely with project managers, field teams, vendors, subcontractors, and customers to help ensure projects are completed safely, efficiently, on time, and within budget.

The ideal candidate will have experience in commercial construction, mechanical contracting, HVAC, plumbing, piping, or related trades and possess strong communication and administrative skills.

Responsibilities

  • Support Project Managers with daily project coordination and administrative tasks
  • Assist with project scheduling, documentation, and tracking milestones
  • Prepare and manage submittals, RFIs, change orders, closeout documents, and project logs
  • Coordinate material procurement and delivery schedules with vendors and suppliers
  • Maintain project files, drawings, contracts, and correspondence
  • Track project costs, labor hours, and job progress updates
  • Assist with billing documentation, purchase orders, and invoice processing
  • Coordinate communication between office staff, field personnel, subcontractors, and customers
  • Attend project meetings and distribute meeting notes as required
  • Ensure projects comply with company procedures and customer requirements
  • Help maintain accurate reporting within project management software systems
  • Support multiple projects simultaneously in a fast-paced environment

Requirements

  • 2+ years of project coordination, construction administration, or related experience preferred
  • Experience in commercial mechanical construction, HVAC, plumbing, piping, or general construction preferred
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office Suite, including Excel and Outlook
  • Experience with project management or construction software preferred
  • Strong verbal and written communication skills
  • Ability to prioritize workload and meet deadlines
  • Detail-oriented with strong problem-solving skills
  • Ability to work effectively in a team environment
  • Associate and/or bachelorโ€™s degree in construction management or related field preferred
