Marketing Operations Coordinator - Help Bring Great Marketing to Life
Behind every successful marketing team is someone making sure the right people, tools, information, resources, and processes are in place-and that everything keeps moving.
As the Marketing Operations Coordinator, you'll play an important role in making that happen for the IPCC and IPMI brands and entities. You'll be at the center of the Marketing Department's day-to-day operations, helping organize projects, maintain brand resources, coordinate vendors and inventory, keep digital content current, and create systems that make it easier for the team to do great work.

What You'll Do
Keep the Marketing Team Moving
  • Support the day-to-day operations and administrative needs of the Marketing Department.
  • Coordinate schedules, meetings, materials, printing, and other activities that keep marketing initiatives moving forward.
  • Maintain departmental procedures, templates, documentation, and resources so the team has what it needs when it needs it.
  • Provide administrative and operational support to the Director of Strategic Marketing.

Bring Organization to Systems & Workflows
  • Keep marketing file systems, shared drives, and digital assets organized, accessible, and easy to navigate.
  • Maintain project tasks and workflow systems and help the team stay on track.
  • Manage the organization's brand resource library and marketing asset repository.
  • Identify opportunities to simplify processes, improve efficiency, and make the team's work easier.

Protect and Strengthen Our Brands
  • Help ensure brand assets and marketing resources are accurate, current, organized, and readily available.
  • Maintain consistency across marketing materials, resources, and communications for our brands and entities.
  • Support the team in maintaining strong brand standards and an organized marketing ecosystem.

Coordinate Vendors, Purchasing & Inventory
  • Coordinate vendor relationships, invoices, purchase orders, and procurement documentation.
  • Maintain accurate records of expenditures, contracts, and vendor agreements.
  • Keep marketing collateral, promotional items, signage, and event materials organized and appropriately stocked.
  • Help ensure the team has the materials and resources needed to support campaigns, events, and initiatives.

Keep Our Digital & Internal Channels Current
  • Maintain website and intranet content to ensure information is accurate, timely, and up to date.
  • Coordinate publication of approved content with members of the Marketing team.
  • Support internal communications initiatives and employee-facing content distribution.

Support Marketing in Action
  • Provide logistical and operational support for marketing campaigns, events, and departmental initiatives.
  • Help coordinate the details behind the scenes so marketing projects and experiences come together smoothly.
  • Prepare and organize operational information and reporting that helps management understand priorities, identify opportunities, and make informed decisions.
  • Take on additional responsibilities and projects as assigned.

What You Bring
Minimum Qualifications
  • Associate's degree in Marketing, Business Administration, Communications, or a related field, or equivalent experience.
  • 2-4 years of experience in marketing operations, marketing coordination, office administration, project support, or a related field.
  • Experience managing systems, records, workflows, projects, or administrative processes.
  • Strong organizational skills and demonstrated ability to manage multiple priorities and deadlines.
  • Experience with website content management systems, social media platforms, CRM systems, and/or vendor coordination is preferred.
  • Proficiency with Microsoft Office and project management tools.
  • Ability to successfully pass a pre-employment drug/alcohol screen and background investigation.
  • Native American preference will be given.
