Job Summary

The Meeting & Event Planner is responsible for the day-to-day planning, coordination, and execution of corporate meetings, conferences, and special events. This role oversees all aspects of event operations from initial planning through event completion, partnering closely with clients, facilities teams, catering, audiovisual departments, vendors, staffing agencies, and event production companies to deliver exceptional experiences.

The ideal candidate is highly organized, customer-focused, and experienced in managing multiple priorities in a fast-paced corporate environment. This position supervises between 2 and 15 hourly associates depending on event volume and business needs.


Essential Functions and Responsibilities:

Event Planning & Operations

  • Manage day-to-day meeting and event planning operations.
  • Coordinate and execute events ranging from 10 to 2,000 guests.
  • Oversee event logistics from concept through completion.
  • Manage conference center and multipurpose room scheduling and utilization.
  • Ensure seamless event execution and superior guest experiences.
  • Coordinate all event-related activities with internal and external stakeholders.

Client & Customer Relations

  • Serve as the primary point of contact for clients and customers.
  • Build strong client relationships and ensure high levels of customer satisfaction.
  • Respond to guest concerns and resolve issues promptly and professionally.
  • Conduct event planning meetings and communicate expectations to all partners.

Cross-Functional Coordination

  • Partner with Audio Visual (AV) teams to ensure technology requirements are met.
  • Coordinate with Facilities teams regarding room setup, maintenance, and event readiness.
  • Collaborate with Executive Conference Center catering teams on food and beverage services.
  • Work closely with Catering Managers to support event planning and execution.
  • Coordinate with outside vendors, staffing agencies, and event production companies.

Leadership & Team Management

  • Supervise, train, and develop 2-15 hourly associates.
  • Foster a positive and inclusive work environment.
  • Provide coaching, performance feedback, and ongoing development opportunities.
  • Ensure staffing levels appropriately support operational needs.

Compliance & Administration

  • Maintain compliance with Compass Group policies and procedures.
  • Track event details, budgets, and operational requirements.
  • Support financial accountability and budget management initiatives.
  • Maintain accurate event documentation and reporting.
Qualifications:
  • 5+ years of experience in meeting planning, conference services, hospitality, or event management.
  • Experience coordinating meetings, conferences, and large-scale events.
  • Strong communication, customer service, and organizational skills.
  • Ability to manage multiple projects in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Preferred

  • Bachelor's degree in Hospitality, Event Management, Business, or related field.
  • Corporate conference center experience.
  • Experience with AV services, event production, and budget management.
