Data Manager
Reports To: Associate Director of Data Operations
Status: Full-time; Exempt
Location: Hybrid - Core (LA + SGV): Little Tokyo Office, with regular travel to program sites within the assigned region
Hours of Operation: Monday-Friday, 8:00 AM - 5:00 PM, with flexibility required during reporting cycles, audits, and program launches
Salary Range: Core (LA + SGV): $75,000 - $88,000 annually

Woodcraft Rangers provides TK-12 expanded learning programs, including before and after school, specialty enrichment, and summer learning. In the past few years, Woodcraft has expanded its menu of services beyond traditional after-school programs and summer camps to include early learning, environmental and social justice, college access, and inclusion services for youth with intellectual and developmental disabilities. Additionally, we offer LifeCraft, a college and career advancement program to support the development of approximately 2,250 staff. Today, Woodcraft Rangers serves more than 30,000 youth ages 4 to 18 each year across 150 plus Title I schools in Los Angeles, San Bernardino, and Riverside counties, and continues to expand its reach.

Role Overview:
The Data Manager owns day-to-day data operations for their assigned region - either Core (LA + SGV) or Inland Empire (IE). Reporting to the Associate Director of Data Operations, the Data Manager supervises the regional Data Coordinator team, ensures attendance, enrollment, participant records, and partner system workflows are completed accurately and on time, and serves as the operational point of contact for regional data partners. The Manager owns regional data quality, leads coaching and training for site/program teams, and is the first line of escalation for site-level data issues. The Manager works in close partnership with their peer Manager in the other region to ensure Core and IE operate from one shared data model, escalating cross-regional patterns and risks to the Associate Director.
Responsibilities:
Regional Data Operations
  • Supervise the regional Data Coordinator team (three Coordinators) and manage day-to-day data operations for the assigned area.

  • Ensure attendance, enrollment, participant records, and partner system workflows are completed accurately and on time across all assigned sites.

  • Own regional operational reporting and data quality follow-up.

  • Review exception reports, monitor recurring data issues, and escalate patterns to the Associate Director.

  • Lead regional implementation of attendance, enrollment, and participant data workflows; support launch readiness, system setup, training, troubleshooting, and early issue resolution.

Team Leadership
  • Directly supervise the regional Data Coordinator team; conduct 1:1s, set performance expectations, and develop team capability.

  • Provide coaching, feedback, and ongoing professional development for Coordinators.

  • Lead on-boarding for new Coordinators in alignment with central standards.

Training & Site Support
  • Lead training and coaching for regional site and program teams on data processes, attendance systems, and partner system workflows.

  • Serve as the operational point of contact for site-level data questions, corrections, and process clarifications.

  • Build trusted working relationships with regional Program operational leads to ensure data workflows support program delivery.

Cross-Regional Consistency
  • Partner closely with the peer Data Manager in the other region to ensure Core and IE operate from one shared data model and consistent standards.

  • Surface regional patterns, capacity gaps, and expansion-related risks to the Associate Director.

  • Participate in cross-regional team meetings, standards setting, and reporting alignment work.

Compliance & Data Privacy
  • Ensure all regional data handling complies with FERPA, district data sharing agreements, and applicable student data privacy laws.

  • Support funder reporting cycles (ASES, 21st CCLC/ASSETs, ELOP, foundation funders) by ensuring regional data is accurate, complete, and submission-ready.

  • Maintain regional records that support internal reporting, partner reporting, and audit readiness.

Qualifications / Skills:
Required
  • 3-5 years of progressive experience in data operations, program data management, or a comparable role, including supervisory experience.

  • Working knowledge of expanded learning data systems (EZReports, Afterschool HQ, or comparable) and district SIS platforms (Aeries, Synergy, Infinite Campus, or comparable).

  • Familiarity with funder reporting requirements for ASES, 21st CCLC/ASSETs, ELOP, foundation funders, or comparable government/grant-funded programs.

  • Working knowledge of FERPA and student data privacy requirements.

  • Demonstrated experience coaching and training non-data staff (e.g., site coordinators, program staff) on data systems and workflows.

  • Strong attention to detail, problem-solving skills, and follow-through.

  • Proficiency in Excel and Microsoft 365.

  • Valid California driver's license and reliable transportation for regional site travel.

Preferred
  • Bachelor's degree in a related field, or equivalent professional experience.

  • Experience in a youth-serving nonprofit or expanded learning organization.

  • Bilingual (English/Spanish).
