Loan Administration Manager

Location: Ocala, FL
Job Type: Full-Time, Exempt
Salary: $60,000 - $85,000 annually

Position Overview

A growing mortgage servicing organization is seeking an experienced Senior Manager, Loan Administration to lead several critical servicing functions, including Escrow Administration, Special Loans, Collateral Management, Post Closing, and Mail Room Operations.

This leadership position is responsible for ensuring operational excellence, regulatory compliance, quality performance, process improvement, and exceptional service delivery throughout the mortgage servicing lifecycle. The successful candidate will partner closely with servicing leadership, compliance, technology, quality control, and operational teams to drive efficiency, scalability, and organizational growth.

Key Responsibilities

  • Provide leadership and oversight for Escrow Administration, Special Loans, Collateral Management, Post Closing, and Mail Room operations.
  • Establish departmental goals, performance metrics, and operational priorities.
  • Lead and develop managers and team members through coaching, mentoring, and accountability.
  • Ensure compliance with federal and state regulations, investor requirements, agency guidelines, and company policies.
  • Monitor productivity, quality, turnaround times, and operational performance metrics.
  • Develop and maintain departmental procedures, controls, workflows, and documentation.
  • Identify opportunities for process improvement, automation, and operational efficiencies.
  • Support internal audits, regulatory examinations, investor reviews, and due diligence requests.
  • Partner with cross-functional teams to implement strategic initiatives and operational enhancements.
  • Manage vendor relationships and monitor service-level performance.
  • Assist with capacity planning, staffing strategies, business continuity planning, and operational growth initiatives.
  • Analyze performance trends and implement sustainable solutions that improve efficiency, quality, and customer satisfaction.

Qualifications

Required

  • Minimum 7 years of progressive mortgage servicing experience.
  • Previous leadership experience within mortgage servicing operations.
  • Strong knowledge of escrow administration, collateral management, post-closing operations, document custody, and specialized servicing functions.
  • Experience managing multiple operational teams and priorities.
  • Strong understanding of mortgage servicing regulations, agency guidelines, and investor requirements.
  • Proven ability to drive process improvements, operational efficiency, and quality initiatives.
  • Excellent leadership, communication, organizational, and analytical skills.

Preferred

  • Bachelor's degree in Business Administration, Finance, Accounting, Management, or a related field.
  • Experience supporting servicing transfers, system implementations, organizational growth initiatives, or operational transformations.
  • Working knowledge of FNMA, FHLMC, GNMA, FHA, VA, USDA, and private investor requirements.
  • Experience with servicing platforms, workflow systems, document imaging applications, and Microsoft Office products.
