Job description

The Client Services Administrator works as a part of the client service team at Gateway Associates to prepare and send applications and paperwork to implement recommendations. Their goal is to create an experience for clients that is efficient and easy. The Licensed Client Service Administrator reports to the Director of Operations and is employed by Gateway Associates.
Schedule is in Central Standard time:
Hours: M/Tu 9:00 am - 6:00 pm, W 9:00 am - 5:00 pm, Tr 9:00 am - 4:00 pm, F 9:00 am - 1:00 pm.
  • Prepare applications needed to implement recommendations from advisory team in anticipation of client meetings.

    • Working with multiple product lines including brokerage accounts, insurance policies, mutual fund accounts, and annuities

  • Track insurance applications through the underwriting process.

  • Monitor pending recommendation implementation, i.e. ensure that tasks are completed.

  • Prepare and send client paperwork associated with money movement and account services.

  • Process brokerage transactions as requested by advisory and planning team.

  • Follow-up with clients as needed to ensure that paperwork and applications are completed.

  • Track process of transactions and services to ensure that they are completed after paperwork is processed.

  • Become team expert in paperwork, transactions, and applications

  • Maintain team procedures for processing transactions and paperwork

  • Adapt procedures to Thrivent changes/new efficiencies

  • Serve as point of contact to research and resolve processing issues with the home office

  • Research and help develop procedures for new product lines/products as released

  • Other duties as assigned

Requirements:

  • Series 7/66 licensing

  • State Life and Health insurance licensing

  • Experience working with financial advisors on implementation

  • Excellent communication skills, verbal and written

  • Ability to thrive in high volume, fast paced environment

  • Strong attention to detail

  • Knowledge of business technology such as Microsoft Word, Excel, Outlook, Salesforce, and DocuSign or ability to learn

  • Ability to work independently, prioritize tasks, and self-direct to meet deadlines

  • Ability to maintain the integrity of sensitive/confidential information

  • Desire to work collaboratively and support peers

Compensation:

  • Compensation with experience - target range $60,000 - $70,000/year

  • 80 hours of Paid Time Off and 20 hours Volunteer Time Off in first year

  • Simple IRA plan with employer match

  • Health insurance plan premium reimbursement

As part of Gateway Associates' recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the process. Fingerprints will be required as part of FINRA registration process a for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
