We are a small but rapidly growing CPA firm with over 20 years of experience providing top-tier tax, accounting, and financial advisory services. We are looking for a Front Desk Receptionist / Office Administrator who can thrive in a fast-paced, detail-driven environment and play a vital role in supporting our team during our busiest times of year.
This is not your typical receptionist roleyou'll be at the heart of our operations, providing direct administrative support to our Office Manager and accounting staff while helping ensure the office runs smoothly and clients receive exceptional service.
Key Responsibilities
- Greet and assist clients in a professional and friendly manner.
- Manage high volumes of inbound and outbound phone calls, emails, and appointment scheduling.
- Assist with client intake, onboarding, and client follow-up.
- Monitor and manage firm email inboxes and client communications.
- Prepare, organize, process, and distribute client deliverables and correspondence with accuracy and attention to detail.
- Create and maintain client tax folders and assist with document processing and workflow management.
- Ensure engagement letters, tax organizers, and other client documents are completed and signed properly.
- Track outstanding client documents and follow up on missing information.
- Support the accounting team with document management, data organization, scanning, filing, and administrative tasks.
- Handle incoming and outgoing mail, document releases, and records management.
- Maintain organized electronic and physical client files.
- Manage staff calendars, appointments, and scheduling.
- Maintain a clean, organized, and welcoming office environment.
What We're Looking For
- Prior administrative, office management, receptionist, or customer service experience.
- CPA firm, accounting, legal, financial services, or other professional services experience is preferred but not required.
- Excellent verbal and written communication skills.
- Extreme attention to detailaccuracy and organization are non-negotiable.
- Strong multitasking skills with the ability to manage competing priorities.
- A positive, energetic, and professional personality who enjoys working with clients.
- Ability to stay calm and professional under pressure, especially during busy periods.
- Strong organizational and follow-through skills to ensure documents, signatures, and client requests do not fall through the cracks.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive client information professionally.
Important Details
Tax Season (February 1 through April 15): Expect limited time off, a high-volume workload, and occasional extended hours. The right candidate will be able to handle deadlines and pressure while maintaining accuracy, professionalism, and a positive attitude.
Post-Tax Season: Regular hours resume, and time off is encouraged and supported.
