Job Summary:
The Administrative Assistant provides support to the General Manager of Resort and Train Operations and their respective department heads, performing work of important/confidential nature; preparing reports, arranging appointments; receiving and directing incoming telephone calls and visitors in a pleasant and professional manner; taking meeting minutes, providing administrative support for appropriate individuals as assigned.
The Details:
Position Type: Full-Time, Year-Round
Wage:$20.25
Schedule: Typical schedule is 40 hours, 5 days/per week (may include weekends, evenings, and holidays)

Responsibilities
  • Fully understand and support Xanterra Mission Statement and Core Values.
  • Maintain recordkeeping of capital projects with supporting documentation. A high level of accuracy is required in this area.
  • Scan documentation for appropriate record keeping and electronic filing.
  • Facilitate Special Rate Request reservations and collaborate
  • Review Unifocus, customer comment cards and letters and respond with appropriate letters. Follow up via research of OPERA reservations associated with complaints or refunds.
  • Monitor and track Unifocus guest comment report. Distribute Unifocus reports monthly.
  • Maintain adequate back stock of business supplies for executive offices.
  • Record meeting minutes of special events and prepare minutes report for property distribution.
  • Coordinate Polar Express Charity Train groups. Assist with seasonal and holiday event planning.
  • Maintain meeting room schedules in Outlook and create BEO for Food and Beverage if needed.
  • Process CEA paperwork with corporate office and execute CEA project via communication with vendors and contractors on assigned projects.
  • Assist Trainmaster with Uniforms and Supplies.
  • Assist Risk Director when offsite in filing and faxing worker's comp and insurance claims.
  • Process for payment company vehicle fuel receipts and invoices.
  • Other duties as assigned.

Qualifications
  • Previous clerical or administrative experience.
  • Proficiency with computers and common office equipment.
  • Experience with MS Office, in particular Outlook, Excel spreadsheets and Word and ability to learn new systems.
  • Must be at least 19 years of age.
  • Must have a Arizona valid drivers licence.

While performing the duties of this job, the employee is:
  • Constantly, handling and using wrist motion.
  • Frequently sit, reach outward, reach above shoulder, squat/kneel, bend, lift/carry up to 20lbs, push/pull up to 25lbs.
  • Occasionally stand, walk, climb, lift/carry and push or pull up to 50lbs.
